Our client is a boutique private lender located in the Bellevue region. They take a highly client-centric approach and have become an industry leader for alternative financing and hard money lending throughout the Pacific Northwest. The Office Manager will play a very critical role in adding value across many of the firm’s key functions. Reporting to the General Counsel and serving the small team including the President, this person will be a very valuable member on Day 1, providing stability, organization, process and problem solving to help the firm continue to grow and prosper.
Key Responsibilities- Loan Servicing:
Assist with aspects of loan servicing, including applying payments and answering basic to intermediate questions found in the system. - Office Management:
Maintain an organized office, prioritizing creating a filing system. Order office supplies regularly. - Bookkeeping:
Manage all of the company’s Accounts Payable, including all vendor invoice payments. Manage some other light bookkeeping in Quick Books. - CPA Firm:
Act as the main liaison with the firm’s CPA for corporate taxes. - Taxes:
Manage all the firm’s state and local tax filings and payments. - Borrower-facing:
Act as first POC for incoming requests from borrowers, tracking borrower statements and answering questions from borrowers as necessary. - Client-facing:
Act as a first-pass liaison with many clients; performing portions of the new client intake process, answering questions about their statements and more. - Compliance: manage the company’s Docusign process, open new legal entities and more.
- Escrow & Closings: over time, learn the process and participate in communication with third parties and documentation.
- Education:
Bachelor’s degree or equivalent in work experience required. - Skills:
Exposure to loan servicing or underwriting and the full accounts payable process required.- Prior small office management skills required (organization, filing, process creation and documentation).
- Full bookkeeping exposure nice to have.
- Experience with filing state/local taxes and other compliance documents nice to have.
- Systems:
Quick Books experience required.
- Organized and process-driven

- Clear and concise communicator with people of all types – excited to pick up the phone and have a conversation with a new person.
