Practice Administrator 3 - Strategic Clinic Operations Leadership

Clinic specialties:
Medical & Surgical Clinic of Irving (Primary Care, Pediatrics, Podiatry, Lab & X-Ray). Locations:
Three campuses in Irving and Las Colinas. Onsite daily – Main clinic at 2021 N. Mac Arthur Blvd, Irving, TX.

Job Summary

The Practice Administrator 3 is responsible for strategic and daily operations of one or more practices, aligning daily goals with the broader strategic vision of the Group to enhance performance across Health, Experience, Affordability, Alignment, and Growth. Responsibilities span revenue cycle, billing, patient experience, human resources, budgeting, financial analysis, clinical workflows, and recruitment.

Key Responsibilities
  • Ensure practice workflows begin and end with consistent and exceptional quality care for patients.
  • Achieve system goals by maintaining workflows that support, measure, and attain key clinical outcomes.
  • Maintain an improvement mindset for the practice and align practice and provider goals with those of the Medical Group.
  • Design operational plans for the practice.
  • Monitor workflow for continuous improvement opportunities.
  • Drive and own the financial budget and outcomes for the practice(s).
  • Review monthly financial statements to ensure revenue and expenses are accurate. Report and resolve discrepancies with Accounting.
  • Prepare and review financial data and statistical reports with physicians monthly.
  • Compare practice operating expenses to industry and internal Medical Group benchmarks.
  • Analyze expenses that exceed benchmarks and recommend and implement cost reduction strategies.
  • Analyze financial and statistical reports to propose strategies that strengthen the financial well‑being of the practice.
  • Develop annual and five‑year budgets using knowledge of costs, supplies, and labor.
  • Monitor and manage the revenue cycle to ensure maximum reimbursement for the practice.
  • Ensure that demographics and charges are posted timely and accurately.
  • Ensure coding changes are identified and implemented.
  • Work closely with Executive Committee and other stakeholders to influence decision‑making and drive performance; implement operational plans.
  • Collaborate with lead physicians to prepare, coordinate, record minutes, and co‑facilitate monthly practice review meetings.
  • Implement policies, procedures and objectives for the practice that align with Medical Group policies and procedures.
  • Act as a liaison between the Medical Group and Practice(s) to coordinate with various departments and resolve operational challenges and improve quality of patient care.
  • Participate in designing staffing models that best optimize Practice workflow; hire, develop, and train staff, including evaluation, counseling and termination recommendation.
  • Provide information to physicians and other providers, community groups, and referral agencies about practice programs and new providers, in collaboration with the marketing team.
  • Identify areas where the practice can better support the growing needs of the community and lead initiatives to close gaps.
  • Assist executive committee with provider recruitment.
  • Assist physicians with development, practice growth, and strategic planning/implementation.
  • Onboard new providers, including Physicians and Advanced Practice Providers.

Key Success Factors
  • Minimum of 5 years previous healthcare management experience in a physician practice setting.
  • Operations management experience leading clinical and operational teams.
  • Financial experience, budgeting, and proficiency with spreadsheets, accounting reporting systems, Excel, and similar database reporting.
  • Deep knowledge of all practice disciplines (revenue cycle, billing, patient experience, human resources, budgeting, financial analysis, clinical workflows, and recruitment).
  • Ability to relate to, interact with, and understand personality types and different kinds of people.

Qualifications
  • Education:

    Bachelor’s degree or four years of work experience above the minimum qualification.
  • Experience:

    Five years of experience in a related role.
