About the RoleWe’re looking for someone who enjoys keeping things organized and making sure day‑to‑day operations run smoothly. As our Operations Administrator, you’ll support our facilities and fleet functions across multiple branches and help keep our teams on track with compliance, documentation, and reporting.
This role is perfect for someone who thrives on organization, enjoys working with data and systems, and takes pride in keeping our operations compliant and efficient across all our branches.
What You’ll DoIn this role, you'll be the go-to person for tracking, documenting, and coordinating our facilities and fleet operations. You'll work closely with our Director of Operations and Regional Operations Managers to keep everything organized and compliant. Your day‑to‑day will include:
Facilities Administration- Process and track facilities invoices by branch and category
- Send timely reminders for permit renewals, inspections, and contract expirations
- Maintain organized digital files for COOs, permits, inspections, and vendor documentation
- Track utility costs by branch and flag unusual increases
- Monitor compliance tracking for racking inspections, fire safety, and insurance requirements
- Maintain vendor contact database and track contract renewal dates
- Track maintenance and repair costs for all trucks and forklifts by unit
- Monitor PM schedules and send notifications to branches
- Review driver inspections (DVIR) for compliance and flag issues
- Track DOT annual inspections and medical card expirations
- Create monthly fleet spend reports by category
- Maintain Driver Qualification (DQ) files and ensure DOT compliance
- Prepare monthly spend reports for facilities and fleet by branch
- Create compliance reminder reports for upcoming renewals
- Coordinate with Regional Managers on vendor updates and facility needs
- Flag urgent compliance issues requiring immediate attention
We’re looking for someone who is organized, dependable, and comfortable working with data and tracking systems. You should be able to manage multiple tasks at once and communicate clearly with both internal teams and outside vendors.
Requirements- Associate's degree or equivalent administrative experience (2+ years preferred)
- Advanced Excel/Google Sheets skills (comfortable with tracking, reporting, and data analysis)
- Exceptional attention to detail and deadline management
- Strong written communication skills
