Event Planner I – Hybrid
Location: Irving, TX 75039
Pay Rate: $28.45 per hour
Schedule: Monday – Friday, standard business hours. Hybrid (approximately one day onsite per week).
Travel: Approximately 30% domestic travel.
Start Date: 5/22/26, contract will go through November 2026
The Event Planner I manages the planning, coordination, and execution of both virtual and in-person meetings and conferences from start to finish. This role focuses on delivering seamless event experiences, coordinating logistics and vendors, and improving operational efficiency and attendee engagement.

- Set up and manage event registration and attendee communications.

- Support live event execution and troubleshooting.
- Utilize platforms such as Webex and Zoom.
- Coordinate meeting space, catering, A/V, and event logistics.
- Manage vendor relationships and onsite execution.
- Support special activities and attendee experience.
- Complete post-event financial reconciliation and closeout.
- Train program partners on conference tools, registration systems, and delivery platforms.
- Communicate effectively with internal teams, senior leadership, and external vendors.
- Support multiple events and projects simultaneously.
- Identify opportunities to improve operational efficiency and scalability.
- Analyze feedback to enhance engagement and customer experience.
- Support workflow improvements and conference-related initiatives.
- Bachelor’s degree required.
- Minimum 2+ years of event planning or conference management experience.
- Experience with both virtual and in-person events preferred.
- Strong project management, organization, and time management.
- Proficiency in Microsoft Office (Outlook, Word, Excel).
- Experience with Webex, Zoom, or similar virtual platforms.
- Excellent written, verbal, and interpersonal communication.
- Ability to work with senior executives, stakeholders, and vendors.
- Strong attention to detail, problem‑solving skills, and adaptability.
- Ability to work independently and in a fast‑paced environment.
- Event planning involves many moving parts; organization and communication prevent costly errors.
- Technology proficiency ensures smooth virtual delivery and better attendee experience.
