The Intersect Group is seeking an Administrative Specialist to support VP-level executives within our direct client's Marketing division. You will support all aspects of their daily routines to maximize efficiency and impact for our customers. In addition, you will be a key point of contact between the leadership team, and internal / external audiences. You will provide superior customer service while maintaining cooperative working relationships.
You will be accountable for challenging and complex assignments that require tact, confidentiality, problem-solving, independent judgment, and action. You will play a critical role in ensuring the smooth operation of the department, supporting team projects and initiatives, and fostering a professional working environment within the company.
- 5+ years’ experience in an EA/Administrative Assistant role, with 2+ years’ experience supporting Executives (VP-levels+) in larger company; need to be able to talk to experience in the following:
- Outlook calendar/schedule management - lots of travel arrangements and meetings to coordinate
- Travel arrangements - won't be booking directly since they won't have Concur access, so they'll be coordinating with VPs and providing details to travel agent/booking team to arrange travel
- Expense management - submitting expenses/receipts for VPs in Workday (experience with system would be great, but not required)
- Presentation review/editing - won't be creating any slide decks, but occasionally reviewing for errors/corrections
- Meeting coordination/planning - occasionally ordering catering, etc.
- Expertise in MS Outlook email and calendar management required; proficient in Word and PowerPoint (not creating slide decks, just reviewing/editing errors)
- Strong attention to detail
- Flexible and adaptable; able to work quickly and keep up with fast-pace and often changing priorities; may need to respond to rare after-hours requests for travel assistance (not opposed to paying for OT if needed) - need to make sure this is addressed and confirmed it won't be an obstacle
- Strong relationship management skills
- Experience in a Marketing agency or supporting Marketing leaders in a corporate environment strongly preferred
