Responsibilities- Prepare, review, and submit payroll on a bi‑weekly schedule for all U.S. and Canadian employees (salaried and hourly) ensuring accuracy, timeliness, and compliance with external regulations.
- Handle benefits administration, enrollments, mid‑year changes, audits, open enrollment, and day‑to‑day inquiries; resolve claims, terminations, and disability, accident, and death claims.
- Input and process 401(k) initial enrollment, deferral changes, loans, and generate audit reports.
- Manage and review non‑exempt employees’ time cards, gather approvals, and investigate payroll discrepancies.
- Set up new payroll states and localities, ensuring required tax filings are completed.
- Calculate payroll deductions, insurance coverage, wage garnishments, tax filings, child support, and related with holdings.
- Prepare employee wage summaries including earnings, taxes, deductions, leaves, and retirement savings.
- Train facility business office managers and leaders on payroll/timekeeping and approval procedures.
- Train new employees on payroll/timekeeping procedures.
- Oversee benefit enrollment, perform monthly bill reconciliation, and assist with annual enrollment.
- Ensure compliance with federal, state, and local payroll, wage, and hour laws.
- Lead quarterly and annual audits, providing records for workers’ compensation, 401(k), 1095‑C, 941, forms 5500, and other payroll audits.
- Advise employees on changes to benefits, eligibility, and coverage.
- Coordinate with benefits broker on all benefits activities.
- Process payroll change information from the Human Resources Operations team to maintain accurate employee payroll records.
- Work with HR to ensure accuracy of employee benefit deductions.
- Collaborate with payroll provider to file quarterly and annual reports on time.
- Audit information for completeness and take appropriate corrective actions.
- Accurately compute retroactive pay, partial pay, and over payments.
- Assist Finance with month‑end close processes, including payroll and benefits provider invoice reconciliations.
- Provide audit support and special projects to Finance.
- Manage the company’s COBRA administration program.
- Assist with annual Section 125 testing and prepare forms 5500.
- Perform additional responsibilities as requested or assigned.
