Operations Associate

We build clients a comprehensive financial plan that integrates all facets of their financial world including private businesses, real estate, and other assets; liabilities; insurance; taxes; and cash flow. Most importantly, we prioritize implementation, flexibility, and achieving goals with a high probability of success.

ROLE

Wealth Coast is currently looking to add an Operations Associate to our team. This role executes on client onboarding, ensuring seamless integration and communication across teams for effective plan implementation. Responsible for managing case notes and tasks, ensuring precise assignment and tracking. Prepare fee-based planning proposals, oversee new policy application preparation, and account opening and funding.

RESPONSIBILITIES:
Client Onboarding
  • Collaborate with other operations teammates (e.g. investment ops, service advisor, etc.) to achieve seamless on-boarding of new clients, efficient execution of plan implementation, and coordinated client communication
Case Notes & Tasks
  • Ensure that all meeting notes are reviewed, and tasks are assigned to the appropriate associate in a timely manner
  • Assign tasks to the appropriate teammate based on communication from lead advisors and workflow processes
  • Adhere to firm task syntax for proper workflow tracking
Fee Based Planning
  • Prepare all fee-based planning proposals
  • Track new planning engagements to ensure they are signed and paid using our Advice Pay software
New policy acquisition
  • Prepare new application documentation for client signature, coordinate medical exams, and align or create billing accounts
  • Review applications and paperwork for completeness and accuracy before submitting to carrier
  • Store all applications, illustrations, etc., according to the firm’s document retention plan
  • Input client information into our Client Relationship Management (CRM) database
  • Assist when needed on the following:
  • Act as a liaison for underwriting requirements, expedite the process (including working with attending physicians to get medical records more quickly), and provide internal and external updates
  • Regularly monitor the Daily Status Report (DSR) and take action as needed
  • Prepare account-opening paperwork along with necessary ancillary forms (e.g. advisory SIS, ACH, ACAT, cash management, TAF, etc.) and obtain all necessary signatures to establish accounts
  • Review paperwork for completeness and accuracy before submitting to compliance
  • Submit and track pending accounts through the final approval process
  • Input client information into our Client Relationship Management (CRM) database
Account funding
  • Collaborate with advisory teams to complete money-movement forms and establish movement instructions
  • Process ad hoc ACH contributions as needed
  • Collaborate with advisory teams to find the best solutions for unique client situations and creatively problem solve issues that arise within core client services
  • Develop a solid understanding of the firm’s client operations, pilot new programs and manage compliance to ensure the practice exceeds standards
  • Determine how best to take advantage of new Northwestern Mutual initiatives as they are released
  • Ensure that all tasks are documented and kept up-to-date in CRM Opportunities and Tasks as defined by the firm’s workflow procedures
QUALIFICATIONS
  • Bachelor’s degree or better
  • Series 6 and 63 (or working towards)
  • 3+ years of experience in the financial services industry, preferred
