The MACLP with Latinx Communities (Aliento) program prepares students to become LMFTs and LPCCs serving Latinx communities. These goals are consistent with the mission of Pepperdine University to prepare students for lives of service, purpose, and leadership. The Aliento Program Administrator and Academic Advisor plays a critical role in the administration of this program and serves as the academic advisor for all Aliento students.
As such, this role is essential in supporting the program’s contribution to the University's mission.
- Academic Advising - Maintain student advisement office hours at the Irvine Graduate campus and assist students with creating a course plan/schedule that fits their graduation timeline and access progress for continuation in program. Monitor and track the academic progress of students to ensure they are in good standing and on track to graduate in a timely manner. Create academic course schedules for the program including how many students need specific courses throughout the program to meet their graduation timeline (i.e., bilingual practicum);
Onboard new students, review waivers and transfers of previous courses, process leave of absences, etc. - Program Administration - Serve as the primary point of contact for faculty, staff, and students regarding the Aliento program. Responsible for monitoring and updating all academic records and program databases, maintaining program calendars, and coordinating logistics for meetings, orientations, and both virtual and live info sessions. Attend virtual and live info sessions. Provides direct support for the Graduate Assistants in weekly staff meetings.
Trains, mentors, and supervises Graduate Assistants in daily office operations and works with them to prepare program reports and coordinate annual data for practicum hours. Perform other duties as assigned (assists with GSEP events, Aliento orientation, e.g., GSEP graduation). Collaborate with other GSEP offices, programs, individuals, and outside vendors as necessary. Provide administrative support for the Program Director and attend weekly program staff meetings. - Practicum - Work collaboratively with the Irvine Clinical Training Coordinator (CTC) to monitor Aliento student practicum progress, Aliento specific practicum sites, site/student concerns, and graduation requirements. Communicate to practicum instructors the status of students' grades. Manage the onboarding process for our two Aliento specific practicum sites, manage student practicum database and coordinator with psychology department coordinator to create supervisor contracts. Manage the Aliento sites Simple Practice database.
- Fiscal Coordination - In collaboration with the program director, monitor the program budget and keep all financial records up to date. This includes performing monthly reconciliations and substantiations for both self and the Program Director's expenses to ensure everything aligns with University policy. Manage the full process for guest speakers, from drafting their formal agreements and collecting necessary paperwork to coordinating their final payments, and making program purchases when needed..
Serve as the main point of contact for program purchases and working with outside vendors. - Seasonal Projects - Oversee the coordination and logistics of New Student Orientation for the Aliento program. Provide support for the annual summer international immersion program. Coordinate workshops and Center programming as needed throughout the year. Serve as a proactive resource for the Aliento community by developing relevant support materials; this includes initiatives such as sourcing immigration resources in response to the evolving political and social climate.
