We are seeking a highly trusted, detail-oriented Executive Assistant (EA) to support our Chief Executive Officer. This role demands exceptional judgment, discretion, and a unwavering commitment to integrity and confidentiality. The ideal candidate thrives in a fast-paced, high-accountability environment, anticipates needs before they arise, and operates as a proactive, strategic partner to the CEO. The Executive Assistant plays a vital role in safeguarding the CEO’s time, driving operational excellence, and managing sensitive business matters with the utmost professionalism.
The Executive Assistant will also oversee overall office operations, ensuring a highly efficient and professional workplace environment. This role is also responsible for planning and executing corporate events and meetings, while providing oversight and coordination of related administrative functions.

Job Responsibilities- Serve as a trusted gatekeeper and strategic partner to the CEO
- Manage complex calendars, scheduling, and prioritization of meetings
- Coordinate domestic and international travel arrangements and itineraries
- Prepare briefing materials, presentations, reports, and executive correspondence
- Handle highly confidential information with absolute discretion
- Facilitate communication between the CEO and internal/external stakeholders
- Support board communications and executive leadership meetings
- Track key initiatives and follow up on action items
- Oversee day-to-day office operations, including vendor management, facilities coordination, office administration, and ensuring a professional, well-functioning workplace environment
- Oversee the planning and execution of corporate events, leadership meetings, and company-wide functions, ensuring seamless coordination and high standards of delivery
- Supervise and provide direction to administrative staff, including setting priorities, delegating responsibilities, and ensuring high standards of performance and accountability
- Improve and streamline administrative processes to enhance operational efficiency
- Anticipate challenges and proactively problem-solve
- 5+ years of experience supporting C-level executives (CEO support strongly preferred)
- Demonstrated ability to manage handling highly sensitive and confidential information with absolute discretion
- Uncompromising integrity, sound judgment, and strong professional ethics
- Exceptional organizational and time-management skills with keen attention to detail
- Strong written and verbal communication abilities
- Proactive, anticipatory mindset with a strong sense of ownership and accountability
- High emotional intelligence and ability to remain composed, resourceful, and adaptable in a fast-paced environment
- Ability to balance meticulous execution with strategic awareness
- Proficiency in standard business tools (Microsoft Office, Teams, Concur, Docu Sign, etc.)
- Ability to work in Irvine, CA office 5 days a week

The annual U.S. based wage range for this full-time position is $85,000 – $95,000 annually. The base pay actually offered will vary depending on job-related knowledge, skills, location and experience and will take into account internal equity. Other forms of pay may be provided as part of the compensation package, in addition to a full range of health & wellness benefits.
