Executive Administrative Assistant II
Location:
Irvine, CA (Hybrid M/W/Thu on-site)
Duration: 12-Month Assignment
Pay: $30-$35 / HR
Company Overview
On behalf of our client, a global leader in data storage solutions, we are seeking an Executive Administrative Assistant II to join our team. You will provide high-level administrative and clerical support to executive and director-level leadership. This role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced corporate environment. The ideal candidate is proactive, detail-oriented, and comfortable interacting with stakeholders across all levels of the organization.
Key Responsibilities
- Manage complex executive calendars, scheduling meetings, appointments, and travel arrangements
- Coordinate domestic and international travel, including itineraries and expense reporting
- Prepare correspondence, reports, presentations, and statistical summaries
- Screen and manage phone calls, emails, mail, and visitors; route inquiries appropriately
- Support space planning, office organization, and special projects
- Supervise and coordinate clerical staff when applicable
- Conduct research and compile information for executive review
- Assist with budget tracking and financial reporting activities
- Maintain confidentiality and exercise discretion in handling sensitive information
- Minimum 5 years of administrative support experience
- At least 2 3 years supporting executive or director-level leadership
- Strong executive calendar and schedule management experience
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Experience with travel coordination and expense management
- Excellent written and verbal communication skills
- Strong organizational skills and attention to detail
- Ability to manage confidential information with discretion
- Experience coordinating across teams and stakeholders
- Project management or coordination experience
- Budget tracking or financial reporting experience
- Familiarity with enterprise tools such as SAP, Workday, or Service Now
- Associate's or Bachelor's degree preferred (or equivalent combination of education and experience)
