Business Solutions Manager @ Ultimate Staffing

Ultimate Staffing is actively seeking a Part‑Time Front Desk Receptionist and Patient Coordinator to join a growing holistic wellness center in Irvine, CA. This is an exciting opportunity to grow with a team making an impact in the lives of their patients.

Base Pay Range

$22.00/hr – $24.00/hr

Fully onsite in Irvine, CA 92618

Schedule

9AM – 5PM. 4 days a week, Saturday mandatory.

Responsibilities
  • Manage appointment scheduling for consultations, treatments, and follow‑up visits using CRM.
  • Confirm appointments and send reminders to ensure smooth patient flow.
  • Coordinate provider schedules and optimize booking to maximize efficiency.
  • Front Desk Operations
    • Greet patients and visitors warmly, ensuring a welcoming and professional environment.
    • Handle check‑in and check‑out processes, including collecting payments and verifying insurance or membership details.
    • Maintain accurate patient records and update information as needed.
  • Serve as the first point of contact for patient inquiries via phone, email, and in‑person.
  • Provide clear information about services, pricing, and policies.
  • Address patient concerns promptly and elevate issues when necessary to ensure exceptional care.
  • Administrative Support
    • Manage incoming calls and route them appropriately.
    • Assist with inventory tracking and ordering of front desk supplies.
    • Support marketing efforts by scheduling promotional appointments and assisting with event coordination.
  • Social Media & Marketing Support
    • Assist with creating and posting engaging content for social media platforms (Instagram, Facebook, Tik Tok, etc.).
    • Capture photos/videos of treatments, events, and behind‑the‑scenes (with proper patient consent).
    • Respond to comments and messages on social media in a professional and timely manner.
Qualifications
  • 1–2 years in a front desk, patient coordinator, or customer service role.
  • Exposure to medical, aesthetic, wellness industry a plus.
  • Experience with social media marketing a plus.
