Ultimate Staffing is actively seeking a Part‑Time Front Desk Receptionist and Patient Coordinator to join a growing holistic wellness center in Irvine, CA. This is an exciting opportunity to grow with a team making an impact in the lives of their patients.

Schedule9AM – 5PM. 4 days a week, Saturday mandatory.

- Manage appointment scheduling for consultations, treatments, and follow‑up visits using CRM.
- Confirm appointments and send reminders to ensure smooth patient flow.
- Coordinate provider schedules and optimize booking to maximize efficiency.
- Front Desk Operations
- Greet patients and visitors warmly, ensuring a welcoming and professional environment.
- Handle check‑in and check‑out processes, including collecting payments and verifying insurance or membership details.
- Maintain accurate patient records and update information as needed.
- Serve as the first point of contact for patient inquiries via phone, email, and in‑person.
- Provide clear information about services, pricing, and policies.
- Address patient concerns promptly and elevate issues when necessary to ensure exceptional care.
- Administrative Support
- Manage incoming calls and route them appropriately.
- Assist with inventory tracking and ordering of front desk supplies.
- Support marketing efforts by scheduling promotional appointments and assisting with event coordination.
- Social Media & Marketing Support
- Assist with creating and posting engaging content for social media platforms (Instagram, Facebook, Tik Tok, etc.).
- Capture photos/videos of treatments, events, and behind‑the‑scenes (with proper patient consent).
- Respond to comments and messages on social media in a professional and timely manner.
- 1–2 years in a front desk, patient coordinator, or customer service role.
- Exposure to medical, aesthetic, wellness industry a plus.
- Experience with social media marketing a plus.
