A private family office in Irvine is looking for an Administrative Support professional to help keep daily operations organized, calm, and running smoothly. This role supports a small group of high-level individuals who value maturity, reliability, discretion, and thoughtful communication. Position Details
  • Schedule: Monday-Friday, 8:30AM-3:00PM (25-30 hrs/week)
  • Start Date: ASAP
  • Location: Fully onsite in Irvine
  • Compensation: $25/hr

What You'll Be Doing

Scheduling + Coordination

  • Maintain detailed daily/weekly schedules for the CEO and support team
  • Coordinate personal appointments, wellness visits, training sessions, and household needs
  • Create and update weekly schedules for the driver/caregiver
  • Send real-time updates to keep everyone aligned

Communication + Support

  • Provide light phone support with minimal call volume
  • Share daily updates with a small, tight‑knit team
  • Keep the office informed of schedule changes
  • Maintain confidential information, including a master password list

Invoice Processing

  • Route invoices through a strict approval chain
  • Send daily status updates to leadership
  • Ensure final invoices are submitted accurately
  • Assist with utilities and household-related expenses

General Office Support

  • Light Mac assistance
  • Help maintain an organized, steady, low‑disruption office environment
  • Step into additional responsibilities as the role grows
