The Communications & Events unit includes a team of three (the Communications & Events Officer and two Communications & Events Coordinators). This unit works closely with the University Librarian, the Associate University Librarian for Administrative Services, and the Libraries Director of Development to strategically coordinate External Relations functions including marketing, communications, events, donor relations, and Libraries publications. In addition, this unit collaborates with Libraries Design Services unit on the development of publications, exhibits, and marketing materials.

Reporting to the Director of Communications, this position provides administrative support primarily for Communications and Development, with secondary responsibilities for administrative support for the three Assistant/Associate University Librarians. This position provides support for planning and producing internal and external library communications, events, exhibits, and other programming. Duties include creating and editing digital and print content (such as web, social media, exhibits, and other promotional materials) as well as assisting with daily office operations, maintaining mailing lists, preparing correspondence, and maintaining calendars and scheduling meetings.

- Ability to assist with multiple priorities and assignments at all times as well as prioritize assignments to complete work in a timely manner.
- Demonstrated ability to work independently and follow through on assignments with minimal directions.
- Ability to establish and maintain cooperative working relationships and to interact diplomatically with the public and diverse contingencies including, among others, influential community leaders, University executives, faculty, administrative personnel, and volunteer groups.
- Skills to communicate information clearly and consistently in a pleasant and professional manner to a broad variety of audiences.
- Ability to work creatively, collaboratively, and effectively and to support inclusiveness within UC Irvine Libraries and the campus.
- Strong verbal and written communications skills and the ability to write grammatically correct correspondence and other materials.
- Computer skills necessary to complete work assignments, including experience using Microsoft Word, Excel, PowerPoint, and Outlook and other software programs.
- Professional demeanor and appearance to interact with library donors and the community.
- Skills to maintain accurate file organization and information systems.
- Excellent proofreading skills.
- Demonstrated ability to perform detailed tasks with a high degree of accuracy.
- Strong analytical and problem solving skills.
- Experience producing communication for a variety of channels/outlets (print, web, video, social media, etc.).
- Knowledge of AP Style for external writing and experience writing external copy (press releases, blogs, op-eds, newsletter stories, etc.).
- Skills to adapt to change and balance work priorities in a fast-paced environment.
- Experience producing communication for a variety of communications channels (e.g., print, web, email, and social media).
- High school diploma or equivalent experience.
Preferred:
- Experience with basic publication design and video production principles and tools.
- Experience working with Adobe Creative Cloud and/or Canva graphic design software.
- Working knowledge of webpage creation and maintenance using a content management system (CMS) and/or HTML and experience with Web Content Accessibility Guidelines (WCAG) specifications.
- Experience working in a library and knowledge of general library operations and procedures.
- Working knowledge of University of California policies and procedures.
- Experience using Kauli Financial System (KFS).
