About

the Job:

Taco Bell is looking for an Administrative Assistant to join our team A-team (Administrative Team), supporting the Field Operations team. The ideal candidate has high energy and loves the Taco Bell Brand. The person loves to take on any challenge and views balancing changing priorities as an opportunity. The person enjoys taking accountability and working as part of a team. At the same time, the person is a self-starter who likes self-directed work.

Experience as an administrative assistant or coordinator is preferred and having experience in a fast paced, creative and dynamic work environment is a definite plus. Responsibilities will include administrative work, such as coordinating daily meeting schedules and managing demanding calendars, travel coordination, and submission of expenses. Additional responsibilities include processing invoices, creating documents, and working on ad hoc projects. The successful candidate must possess strong organizational, communication and office software skills.

The Administrative Assistant will support a Vice President, Field Operations and Field Operations Leaders.

The Day-to-Day:
  • Support departmental leaders within the internal operations team and their respective field teams
  • Schedule meetings and continuously track calendars, anticipating needs before they are necessary
  • Coordinate and book travel itineraries, manage expense reports and order supplies, services and equipment as needed
  • Serve as the liaison between the field team and the Restaurant Support Center for communication and inquiries.
  • Prepare documents, spreadsheets and presentations utilizing PowerPoint, Excel, Word and/or Canva.
  • Manage and track department budget and project spending
  • Coordinate and support virtual and in-person department meetings, off-site events, and restaurant visits.
  • Partner with HR to manage field structure and on-boarding
  • Collaborate with Ops Admins to cultivate a dynamic and vibrant “Live Mas” culture within the Field and RSC Ops departments.
  • Engage with senior leadership and cross-functional administrative assistants at Taco Bell
  • Support with ad hoc projects and reports as necessary
Is This You?
  • Minimum of 3+ years of progressive administrative experience with at least 3+ years supporting multiple Executive team members and/or large teams of VPs/Sr. Directors, ideally in a large organization
  • Bachelor’s degree preferred
  • Previous work experience in a PMO office for a large enterprise preferred
  • Previous work experience in supporting operational leaders preferred
  • Excellent interpersonal skills, and ability to work with people at all levels within the organization
  • Advanced computer skills in Word, Outlook, PowerPoint and Excel
  • Strong calendaring experience, preferably dealing with complex meeting scheduling and shifting priorities
  • Ability to prioritize work, demonstrate problem-solving ability, attention to detail, and managing information
  • Ability to anticipate team needs and come up with creative solutions
