Overview

Parks Marina in beautiful Okoboji, IA is now accepting applications for the Events Coordinator role. The Events Coordinator is responsible for overseeing the planning, coordination, and execution of various events, ensuring they run smoothly and successfully. The role involves managing a support team, collaborating with various departments, and ensuring all logistical and operational aspects of events are flawlessly executed. The Event Operations Manager plays a critical role in delivering exceptional experiences for our clients, attendees, and ownership.

This position will report to the Director of Hospitality Operations and Hospitality General Manager, and work collaboratively with the Marketing, Catering, Food and Beverage, and various other departments.

Key Responsibilities
  • Sales, planning and execution of private events for all Parks Boat Club and Parks Marina properties.
  • Organization and execution for public events at Parks Boat Club and Parks Marina properties.
  • Co-Planning and execution of public events for Parks Marina, including but not limited to all private and public customer appreciation events, holiday parties, and Winter Games.
  • Communication and planning with Parks Boat Club clients to ensure success in events.
  • Communication with vendors and staff to ensure guest satisfaction.
  • Maintenance of income and expenses of public and private events at Parks Boat Club.
  • Leading event and catering staff during events hosted on the Parks Marina campus.
  • Planning menus and hosting food tasting with clients.
  • Designing room layouts, and setting up and tearing down events.
  • Liaising between Parks Boat Club/Snappers event staff and clients.
  • Formulating and executing ideas to generate additional Events business and revenue.
  • Working with vendors to ensure proper products and costs.
  • Attending vendor and bridal fairs to promote Boat Club and Parks Marina.
  • Creating new vendor relations and maintaining existing vendor relations.
  • Generating all necessary paperwork for Event success, including but not limited to Proposals, Contracts, Banquet Event Orders, Invoices, Schedules, and Floor plans.
  • Maintaining Event Planning Software and participating in any necessary training or continuing education to ensure optimal utilization.
  • Assisting Marketing Department in creation of Sales Literature and Digital content.
  • Assisting Food and Beverage locations as needed.
Qualifications
  • Prior experience in Event Sales, Coordination, and/or Operations required.
  • Excellent written and verbal communication skills.
  • Exceptional Attention to Detail.
  • Strong organizational, project, and time management skills, and ability to self‑direct time spent and communicate needs.
  • Ability to work well in a team environment, take direction and work independently with a variety of groups including supervisors, peers, and direct and indirect reports to achieve goals.
  • Ability to lift and carry supplies including but not limited to tables, chairs, AV equipment, food platters, serving dishes, or other items without assistance.
  • Ability to use Microsoft Office Software including but not limited to Microsoft Word and Microsoft Excel.
  • Knowledge of Google Software including Google Docs, Gmail, Google Sheets, Google Calendar, and Google Keep.
  • Event Management Software experience required. Planning Pod experience is a plus!
  • Experience in Catering Sales and Operations is strongly preferred.
  • Proven ability to meet or exceed deadlines while managing multiple projects simultaneously.
  • Ability to generate new business, maintain repeat clientele, and offer suggestions for growth/continued success.
  • Community fundraising experience, as well as strong community times are a plus!
