Position

An exciting opportunity has arisen for a 1 year fixed term Medical Secretary based between University Hospital Crosshouse and Ayrshire Central Hospital.

Hours

18 hours per week
, worked over three days
. There is a degree of flexibility around the working pattern, for example, Monday to Wednesday or Wednesday to Friday.

From 1 April 2026, the working week for NHS Agenda for Change staff in Scotland will be reduced. Full‑time hours will reduce from 37 to 36 hours (pro rata for part‑time staff) without loss of earnings.

What You Will Do

Key responsibilities include:

  • Digital audio transcription within guaranteed timescales
  • Maintaining and updating the computerised Inpatient Waiting List
  • Processing discharge correspondence promptly, including test results
  • Managing telephone enquiries from patients, relatives, GPs, and other healthcare professionals
  • Liaising with internal departments such as Health Records and Medical Imaging

Knowledge, Training And/or Experience Required To Do The Job
  • You will hold a relevant secretarial qualification (e.g., AMSPAR Diploma for Medical Secretaries, RSA, or Scotvec qualification) or have extensive relevant experience
  • A qualification in Medical Terminology is essential
  • The post holder must use initiative and resourcefulness while exercising a high degree of confidentiality, diplomacy, and tact
  • Excellent communication and interpersonal skills are essential, along with the ability to work independently and as part of a team
  • The post holder will be responsible for prioritising and managing their own workload to ensure compliance with NHS Ayrshire and Arran and Scottish Government targets
  • Previous administration experience in an acute hospital or healthcare setting is advantageous
