We’re looking for a highly organized, execution-oriented Production & Office Coordinator who performs exceptionally well in a fast-moving, results-driven environment.
This is not a passive administrative role. This position serves as the operational hub of the company—keeping production on schedule, ensuring seamless communication, supporting customers, and making sure every detail is handled with precision.
The ideal candidate is proactive, detail-focused, calm under pressure, and takes full ownership of their responsibilities without requiring constant oversight.
Core ResponsibilitiesProduction Coordination
- Schedule and coordinate painting projects efficiently
- Maintain and manage an accurate, active production calendar
- Communicate daily with crews, customers, and leadership
- Ensure projects launch, progress, and close out properly
- Quickly identify and resolve scheduling conflicts or gaps
- Manage incoming calls and customer communications professionally
- Maintain CRM accuracy and real-time job tracking
- Support smooth handoff from sales to production
- Monitor job status and update systems daily
- Keep documentation, job files, and communications organized and current
- Provide clear, professional communication at all times
- Deliver proactive updates to customers
- Address minor issues early to prevent escalation
This role is structured for advancement into an Office / Operations Manager position for the right individual.
Master internal systems, own scheduling, and support production flow with consistency and accuracy.
Phase 2 (6–18 Months):
Senior Coordinator / Operations Lead
Improve workflows, refine systems, stabilize operations, and reduce executive oversight needs.
Phase 3 (18–30 Months):
Office / Operations Manager
Lead production coordination and office operations, manage systems and accountability, and drive overall operational performance.

- $50,000 – $56,000 annual salary (based on experience)
