Role SummaryWe are seeking a
high-execution, detail-driven Production & Office Coordinator
who thrives in a
fast-paced, accountability-driven, production-focused environment.
This is
not a sit-back admin role. This position is the operational heartbeat of our business — ensuring production flows, schedules stay tight, customers are supported, and nothing falls through the cracks.
The right person is organized, calm under pressure, fast, accurate, and takes ownership without needing constant direction.
What This Role OwnsProduction Coordination
- Schedule and coordinate painting projects efficiently
- Maintain an accurate and moving production calendar
- Communicate daily with crews, customers, and leadership
- Ensure jobs start, progress, and close properly
- Identify and solve scheduling gaps quickly
Office & Operations Execution
- Manage incoming calls and customer communication
- Maintain CRM accuracy and job tracking (no loose ends)
- Support sales → production handoff
- Track job status and update systems daily
- Keep job files, documentation, and communication organized
Customer Experience Protection
- Provide clear, professional communication
- Deliver proactive updates to customers
- Resolve small issues before they become large problems
This role is designed to grow into an
Office / Operations Manager
position for the right individual.
Learn systems, own scheduling, support production flow, and execute consistently.
Phase 2 — Senior Coordinator / Operations Lead (6–18 Months)Take ownership of workflow, improve systems, stabilize operations, and reduce leadership load.
Phase 3 — Office / Operations Manager (18–30 Months)Lead office and production coordination, manage systems and workflow, drive accountability, and support operational performance.

Compensation- $50,000 – $56,000 salary (based on experience)
