Overview
The Executive Assistant’s primary responsibility is to provide ministry support to the Executive Pastor assisting in any manner that will help make their ministry work be as fruitful as possible. This position is a non-exempt full-time hourly position.
Responsibilities- Assist the Executive Pastor with daily administrative duties and complete a broad variety of administrative tasks, including completing expense reports, composing and preparing correspondence, arranging travel plans, itineraries and agendas, and compiling documents for meetings.
- Organize meetings by scheduling, sending reminders, recording and documenting meeting minutes, and arranging catering when necessary.
- Assist and support the Executive Pastor in preparing for meetings, including preparing meeting materials, tracking meeting progress and follow-up items, and preparing and revising correspondence.
- Maintain calendar and appointment scheduling and work with the Executive Pastor to effectively manage time.
- Work closely with the Executive Pastor to keep him well informed of upcoming commitments and responsibilities, following up appropriately.
- Screen and direct phone calls, relay important information promptly, and maintain confidentiality as needed.
- Open, distribute, read/handle mail and emails as requested or required.
- Manage sensitive matters with a high level of confidentiality and discretion.
- Plan, coordinate, organize and assist with various Northview initiatives, meetings, events, and celebrations.
- Help with additional projects as needed.
- Network with other mega-church executive assistants for personal learning and information gathering to research how other like-minded churches do things.
- Supervisory Responsibilities:
This position works with volunteers and must understand that volunteers are key to the ministry of the church. The employee must have a heart to recruit, train, equip and support volunteers in fulfilling their roles.
