Job Overview

The HR Operations Coordinator plays a key role in delivering a positive, compliant, and well‑organized employee experience across the organization. The role supports accurate HR data management, smooth onboarding and offboarding processes, and consistent HR operations that help the business run efficiently.

Key Responsibilities
  • Initiate and process new‑hire onboarding and terminations in ADP, ensuring accuracy and timeliness.
  • Audit onboarding documentation for compliance (I‑9s, W‑4s, direct deposit, policy acknowledgments, etc.).
  • Order and track background checks, drug screens, and other pre‑employment testing through approved vendors.
  • Coordinate with Site HR and the Talent Acquisition Partner to ensure a smooth transition from offer acceptance to start date.
  • Support offboarding logistics, including documentation, system updates, and equipment return coordination.
  • Maintain accurate employee data in ADP and support recurring HR audits and reports.
  • Serve as a first‑line resource for routine HR system transactions and process questions.
  • Complete employment verifications and respond to unemployment claims in a timely manner.
  • Support payroll and benefits data updates in partnership with HRBP Corporate Services.
  • Maintain organized electronic personnel files and records in accordance with audit and retention requirements.
  • Assist with internal compliance reviews (I‑9 audits, personnel file audits, training completion tracking).
  • Track completion of required HR and compliance training and follow up on missing items.
  • Assist with HR policy updates, handbook acknowledgments, and documentation rollouts.
  • Support version control and document retention standards.
  • Partner with HR Representatives to lead and support employee engagement and recognition initiatives.
  • Draft and distribute HR communications, announcements, event information, and employee lifecycle messaging.
  • Maintain HR calendars and support company‑wide surveys, onboarding feedback efforts, and special projects.
  • Manage the shared HR inbox, responding to routine inquiries or routing items to the appropriate HR team member.
  • Provide administrative and coordination support for training logistics, HR initiatives, and cross‑functional projects.
  • Assist with benefits enrollment logistics, integrations, or HR system rollouts as needed.
Qualifications
  • Strong attention to detail and ability to handle confidential information with discretion.
  • Ability to manage multiple priorities and meet deadlines in a fast‑paced environment.
  • Strong written communication and organizational skills.
  • 2–4 years of experience in HR operations, HR administration, or a related role.
  • Experience working with HRIS systems (ADP Workforce Now preferred).
  • Experience supporting multi‑site or hybrid work forces.
  • Familiarity with employment compliance requirements (I‑9, onboarding audits, unemployment claims).
  • Experience supporting HR reporting, audits, or process documentation.
Work Environment

Onsite role with occasional travel (estimated 10–20%) to manufacturing sites, corporate offices, and recruiting events. Prolonged periods of sitting, working at a computer, and participating in virtual meetings. Ability to walk, stand, and move through manufacturing environments during site visits. Must be able to lift up to 20 pounds (e.g., event materials, recruiting supplies). Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
