The Transcription System Coordinator, reporting to the HIM Manager, plays a vital role in supporting the hospital’s transcription and documentation processes. This position is responsible for researching and addressing end user questions, resolving system‑related issues, and serving as the primary point of contact for incoming telephone inquiries. The coordinator provides courteous and timely assistance to hospital staff, including providers and physician office personnel, regarding dictation, transcription, and electronically created patient reports.
Key Responsibilities- Train end users and assist with testing system enhancements.
- Maintain the transcription clinician database by accurately inputting and updating provider information based on audit reports.
- Provide frontline support for software, hardware, and procedural issues.
- Assist with training non‑technical staff on dictation and transcription systems, developing detailed documentation and training materials as needed.
- Collaborate across departments to ensure efficient, accurate, and effective documentation support within the organization.
Skills and Qualifications
To excel in this role, a foundational understanding of computer hardware, software, information systems, and communication devices is essential. Proficiency with basic internet search tools and Microsoft Office Suite, along with a solid knowledge of medical terminology, is also required. Critical soft skills include the ability to prioritize multiple tasks and projects, maintain strict confidentiality, ensure a neat and clean work area, and provide prompt, courteous reception and assistance to visitors and callers.
- Associate Degree required, ideally in Health Information Management. RHIT certification preferred.
- Bachelor’s degree (preferred)
- Preferred Certification/Licensure:
Registered Health Information Technician (RHIT) - Alternatively, a combination of relevant experience and education may be taken into consideration in place of the stated educational requirements.
- 1+ years:
At least one year of experience in Health Information Management or Transcription (preferred).
