The State Comptroller’s office has four main areas—Accounts Payable, Accounting and Reporting, Local Government, and Payroll. Each of these departments plays a crucial role in the functionality of state government. From paying state employees to balancing the state’s checkbook to working with local units and developing year-end financial reports, these departments and the employees within them are dedicated to accurate and transparent accounting on behalf of Hoosiers across the state.
Role OverviewThe External Affairs Specialist is responsible for supporting the work of the External Affairs Director within the Office of State Comptroller through outreach efforts. The primary duty of the individual is driving the Comptroller to events and meetings throughout the state, overseeing logistics for travel and ensuring materials are prepared as necessary. Support to the External Affairs Director will include assisting in executing external outreach efforts which include creating, preparing and executing community relations on behalf of the State Comptroller to further promote the functions of the office and to educate Hoosiers.
The individual will be responsible for conducting research, coordinating logistics, providing preparations and personally accompanying leadership to these meetings. Then, once complete, the individual will provide follow up and manage deliverables. The role requires flexibility within scheduled hours and work location. Significant travel and flexible hours are required.
- Advance planning and delivery of the State Comptroller to locations safely and on time via the state-issued vehicle;
- Maintaining state vehicle mileage reports, maintenance and fuel as necessary;
- Closely coordinate with the office scheduler and other support staff to plan and execute various outreach events;
- Oversight of logistics, preparation and execution for all outreach efforts and external meetings;
- Main photographer for the Comptroller and local officials and constituents during events;
- Coordinating external affairs events and strategizing on potential partnerships and methods for engagement with community leaders;
- Maintain contact lists and manage information to build and foster relationships with community and state leaders;
- Serve as the backup to the Administrative Assistant regarding scheduling and front office/constituent responsibilities;
- Other duties as assigned.
- Hold a Bachelor’s Degree;
- Excellent time management, organization, and verbal/written communication skills;
- Outstanding customer service and professional skills when dealing with the public, local and state leaders and anyone outside or inside the office on behalf of the State Comptroller;
- Ability to multitask with several project details at once and coordinate with appropriate staff;
- Ability to operate media equipment, such as projectors and personal computers;
- Ability to work with a team, or work independently, and have attention to detail;
- Apply strong customer service/customer relations skills;
- Hold a valid driver’s license and ability to operate a motor vehicle;
- Proficient in Microsoft Office Suite.
The salary for this position traditionally starts at 50,000 but may be commensurate with education or work experience.
RoleIN Elected Official Exempt
This position is exempt from overtime compensation for additional work hours which may be required to complete essential functions or other assigned work. Exempt employees may work more than 75 hours in a pay period without additional compensation and must report a minimum of 75 hours per pay period of work hours and/or paid leave taken to receive their base biweekly salary.
