Rayze Bio is seeking a highly organized and motivated Administrative Assistant. This position will support c-suite and other senior management and oversee general office functions in the Indianapolis office. The position requires someone who is organized, responsive, flexible, and adaptable. They will assist with general office functions such as greeting visitors, ordering supplies, catering, and other administrative support as assigned. The Administrative Assistant will report directly to the Executive Assistant / HR Assistant.

Job Responsibilities
  • Provide administrative support across multiple business functions and to the senior management team based in Indianapolis.
  • Handle confidential and non-routine information and facilitate team communication.
  • Assist in coordinating logistics for on and off-site internal and external meetings and conferences.
  • Oversee general office functions: manage office and breakroom supplies, incoming mail, visitor reception area, organize and maintain office common areas.
  • Order and stock office supply areas, utilizing point purchasing.
  • Welcome visitors and direct them to the relevant office/personnel.
  • Distribute and manage incoming USPS office mail as required.
  • Coordinating logistics for weekly lunches, including room setup, catering, and clean-up.
  • File management: organize files, including virtual documents, and maintain company records.
  • Office equipment: handle office equipment, such as copiers, projectors, and meeting room equipment.
Education And Experience
  • High school diploma or equivalent, Associate's degree a plus.
  • Past administrative experience or tenure in an office setting a plus.
  • Previous experience in a start-up company preferred, especially biotech industry experience.
Skills And Qualifications
  • Highly organized, with the ability to multi-task and handle pressure well.
  • Ensures that deadlines are met and adapts to changing priorities.
  • Ability to think through a project and execute independently from beginning to end.
  • Fully proficient in MS Office (Outlook, Word, PowerPoint, Excel, and Teams) and video conferencing.
  • Warm personality with strong communication skills.
  • Presents a positive and professional image for the organization.
  • Excellent professional ethics, integrity, and ability to maintain confidential information.
Physical Demands

While performing the duties of this job, the employee is regularly required to sit, reach with hands and arms, and talk or hear. The employee must occasionally lift and/or move up to 15 pounds. Specific vision abilities required by this job include close vision and distance vision.

Compensation Overview

Indianapolis - Rayze Bio - IN: $60,693 - $73,546

The starting compensation range(s) for this role are listed above for a full-time employee (FTE) basis. Additional incentive cash and stock opportunities (based on eligibility) may be available. The starting pay rate takes into account characteristics of the job, such as required skills, where the job is performed, the employee's work schedule, job-related knowledge, and experience. Final, individual compensation will be decided based on demonstrated experience.
