Role Overview
:

The Executive Assistant (EA) assists the Indiana Office of Energy Development in all ministerial and administrative aspects related to their duties. Additionally, the EA serves as a special projects coordinator for various initiatives and projects. The EA manages the daily internal and external schedules of the Executive Director and other staff, and acts as a primary interface with the public on behalf of the office.


Salary Statement
:

The salary for this position typically starts at $37,648.00 but may be adjusted based on education or work experience.

A Day in the Life:

The essential functions of this role include:

  • Providing advanced administrative support to an agency, department, or facility.
  • Reviewing organizational structure and functions of the assigned program area to recommend improvements.
  • Administering staff functions in support of the program area.
  • Assisting the program administrator in applying agency or department policies and procedures.
  • Representing the program administrator in meetings with other agencies and the public to explain and interpret program goals, policies, and procedures.
  • Preparing, evaluating, and maintaining administrative reports, policies, and procedures for different program areas.

What You'll Need for Success:

The ideal candidate should minimally possess:

  • An Associate’s Degree with 3+ years of experience, or
  • At least 5+ years of relevant experience applying the knowledge, skills, and abilities outlined below.

Relevant certifications and coursework may be considered in lieu of formal education or experience:

  • Knowledge of theories, principles, and practices of administrative management.
  • Understanding of state governmental administrative structures.
  • Knowledge of the assigned program area.
  • Organizational skills with the ability to prioritize and multitask effectively.
  • Ability to coordinate and motivate staff.
  • Effective communication skills, both oral and written, with diverse audiences.
  • Attention to detail and proofreading skills.
  • Ability to establish cooperative working relationships.
  • Skill in analyzing, updating, and writing procedures and policies.
  • Ability to perform essential functions with or without reasonable accommodations.
Supervisory Responsibilities/Direct Reports:

This role may include supervisory responsibilities depending on agency needs.
