Position Summary

The Office Coordinator serves as the first point of contact for customers, visitors, and incoming calls, while also supporting the sales team and maintaining a professional business atmosphere.

This role is essential in ensuring customers receive prompt, professional service and that internal operations run smoothly. You will assist with customer pickups, simple orders, order entry, and administrative support while helping maintain the front office and showroom.

Core Responsibilities Customer Interaction & Front Office
  • Answer and direct incoming phone calls professionally and efficiently
  • Greet and assist walk‑in customers
  • Help customers with order pickups and ensure proper paperwork is completed
  • Process simple walk‑in orders such as fasteners, accessories, and stock items
  • Provide a welcoming, helpful, and professional customer experience
Sales Support & Order Entry
  • Enter customer material orders into company software (ABIS) from provided lists
  • Assist the sales team with overflow administrative tasks and quoting support
  • Prepare paperwork and documentation for customer orders
  • Help ensure order accuracy and completeness
Office Organization & Operations
  • Maintain a clean, organized, and professional office and showroom
  • Ensure product samples and merchandise displays are stocked and presentable
  • Monitor and restock office supplies as needed
  • Support general administrative and operational needs
Culture & Team Contribution
  • Represent Indiana Metal professionally in every interaction
  • Be dependable, punctual, and prepared each day
  • Take ownership of responsibilities and follow through on tasks
  • Maintain a positive, team‑focused attitude
  • Be willing to learn and contribute to the team

  • Customers are greeted and assisted promptly and professionally
  • Calls are handled efficiently and directed correctly
  • Orders and paperwork are accurate and organized

Qualifications & Experience
  • Strong organizational skills and attention to detail
  • Friendly, professional communication skills
  • Comfortable working with computers and learning new software
  • Ability to multitask and stay organized in a fast‑paced environment
  • Dependable, punctual, and self‑motivated
  • Prior office, retail, customer service, or administrative experience preferred but not required; we are willing to train the right person
