Hrezo Engineering, Inc. is seeking a motivated and detail‑oriented Front Desk Administrator to support daily office operations. This role includes administrative tasks for both Hrezo Engineering and Hrezo Industrial, requiring excellent organizational and multitasking skills.

Responsibilities- Answer and direct incoming phone calls professionally.
- Provide front desk support and general administrative assistance.
- Perform data entry and maintain organized digital and physical files.
- Handle accounts receivable tasks including marking invoices as paid, preparing deposit slips, and contacting clients regarding past‑due invoices.
- Assist with billing and invoicing.
- Create, maintain, and update spreadsheets.
- Support internal staff with administrative tasks.
- Organize filing systems and perform routine clerical duties.
- Utilize office software and technology accurately and efficiently.
- Support Hrezo Industrial operations, including receiving purchase orders.
- Order parts as needed for industrial projects.
- Create purchase orders for parts and materials.
- Package and ship parts accurately and efficiently.
- Create shipping labels using UPS Worldwide systems.
- Prepare invoices and packing slips for parts orders.
- Assemble project bid documents for engineering proposals.
- Bind project specification books.
- Print and bind plan sets for clients as required.
- Type structural inspection reports based on engineer field notes.
- Download inspection photos and organize them in the required order.
- Number inspection photos according to project specifications.
- Create digital inspection report files and name them according to company standards.
- Excellent verbal and written communication skills.
- Ability to multitask and problem‑solve independently.
- Comfortable calling clients regarding outstanding invoices.
- Strong organizational skills and attention to detail.
- Experience with billing and invoicing.
- Valid driver’s license and reliable transportation required.
