Kovitz Shifrin Nesbit is growing! A well-established and leading law firm specializing in the representation of homeowner, condominium, and community associations is seeking an experienced full-time Legal Assistant for our Indianapolis office. The Legal Assistant will be responsible for providing administrative support to the legal team. The ideal candidate has a strong work ethic, exceptional problem-solving skills, and is comfortable working in a fast-paced environment.
The general business hours are 8:30am to 4:30pm, Monday through Friday. This is a non-exempt, in-office position with no remote work available.
The starting hourly rate for this position is $27.47, contingent upon level of experience. You MUST apply at:
Duties/Responsibilities- Coordinate appointments, phone conferences, and meetings, including all correspondence
- Assist attorneys with calendar management
- Manage legal documentation and correspondence, including the mailing/shipping necessary
- Prepare New Client Intake Forms
- Prepare New Client Packets (including Engagement Letters and Retainer Agreements)
- Assist with client marketing events
- Assist with billing entries
- Prepare letters and correspondence to clients and third parties
- Profile document management database with all relevant documents, emails, etc.
- Organize and maintain client documentation in physical and electronic format
- E-Recording of Association documents
- E-File court documents in various Indiana courts
- Copy, collate, and prepare court documents for service via the sheriff’s office or certified mail
- Implement and improve upon administrative processes for more efficient workflow
- Provide status updates to the legal team
- Any other duties as assigned
- Minimum of 3 years of administrative experience required
- 3+ years of practical experience as a legal assistant preferred
- Project management experience is a plus
- Ability to focus on tasks at hand despite busy environment
- Excellent communication skills, both verbal and written
- Able to work in a fast-paced environment with challenging tasks and daily deadlines
- Must be proficient with Microsoft Office Suite programs (Outlook, Word, Excel, Teams)
- Must be able to type greater than 50 wpm with greater than 90% accuracy
- Must have strong organizational and interpersonal skills
- Must be comfortable working independently yet be a team player
- Attention to detail and proofreading skills required
- Experience with Lexis Nexis preferred, but not required
- Prolonged periods of stationary work at a desk and computer
- Prolonged periods of standing
- Occasional lifting and moving of items weighing up to 50 pounds
