Our client located downtown Indianapolis is looking for a Legal Administrative Assistant to partner with attorneys and legal teams within a fast-paced litigation environment. This role blends advanced document production, technical support, and proactive administrative coordination while maintaining the highest standards of accuracy, confidentiality, and professionalism.
Responsibilities
- Partner closely with attorneys to identify effective solutions while adhering to firm policies and best practices
- Build expertise in firm technology platforms and provide frontline administrative and technical assistance to attorneys and paralegals
- Draft, revise, and proofread sophisticated legal documents, ensuring precision in formatting, grammar, and content
- Compile, organize, and maintain pleadings, trial binders, and supporting materials
- Manage and maintain client files in both electronic and hard-copy formats
- Support billing and time entry processes, including transcription, invoice coordination, and review of pre-bills
- Coordinate calendars, deadlines, docketing, and scheduling in alignment with court and client requirements
- Arrange attorney travel and reconcile expense reports according to internal guidelines
- Communicate professionally with clients, courts, and internal stakeholders
- Assist attorneys and practice groups with workflow coordination and project support
- Track and maintain attorney licensing, memberships, and credentialing requirements
- Serve as backup support across the administrative team to ensure continuity of coverage
Requirements
- Prior experience supporting civil litigation matters, including familiarity with state and federal court filing procedures and e-filing systems is a plus
- Associate's degree or Bachelor's degree preferred;
High school diploma required - 3+ years of experience providing legal administrative support within a law firm or legal department
- Exceptional attention to detail with strong organizational and prioritization skills
- Advanced proficiency in Microsoft Office (Word, Outlook, Excel, PowerPoint) and Adobe Acrobat, with the ability to quickly learn new systems
