Location: Indianapolis

Hall, Render, Killian, Heath & Lyman, P.C., the nation’s largest law firm focused exclusively on matters specific to health care organizations, seeks a friendly, energetic and experienced full-time Litigation Legal Administrative Assistant (“LAA”) for our Indianapolis office. The LAA will perform a wide variety of legal administrative and paraprofessional duties in support of multiple Attorneys within an inclusive, team-oriented environment. Primary responsibilities include providing comprehensive and efficient administrative support, preparing and editing correspondence, legal documents (including pleadings, presentation decks, tables, spreadsheets), managing calendars, maintaining paper and electronic files and time entry and billing processes.

  • Support Attorneys by identifying reliable solutions while working within Firm policies and procedures.
  • Develop proficiency in all required Firm software and provide first-line technical and administrative support to Attorneys and Paralegals.
  • Draft, edit and proofread complex legal documents for ensuring accuracy in spelling, grammar, punctuation, formatting and content.
  • Prepare and assemble pleading and trial notebooks.
  • Create, organize and maintain both paper and electronic client files.
  • Assist with timekeeping, transcription and payment processing, including coordination of billing requests and coordinating billing workflows (proformas).
  • Manage scheduling, docketing and calendar coordination to support Attorney/client deadlines and court requirements.
  • Coordinate travel arrangements and process expense reports in accordance with Firm guidelines.
  • Effectively communicate and integrate with clients, courts and internal stakeholders.
  • Provide project management support to Attorneys and practice teams.
  • Manage Attorney membership, licensing and credentialing requirements.
  • Serve as back up Legal Administrative Assistant (“LAA”) to ensure administrative team coverage and continuity.
Requirements
  • Prior experience in civil litigation practices and procedures is required including knowledge of State and Federal manual and e-filing procedures.
  • Detail-oriented with strong organizational and time management skills.
  • Advanced proficiency and knowledge of Adobe Acrobat and Microsoft Outlook, Word, PowerPoint and Excel functions, with an aptitude for quickly learning various other programs.
  • Ability to work independently and with team members to find solutions to technical problems.
  • Flexibility in responding to ever-changing demands and types of work practices.
  • Ability to respond with a sense of urgency, be proactive and assertive.
  • High levelof discretion and confidentiality, with the ability tooperateunder minimal supervision.
Education and Qualifications
  • High school diploma.
  • Minimum of three (3) years of experience or equivalent experience in a law firm and/or legal department, including civil litigation support.
  • Prior experience supporting government appeals, at the state and/or federal level; experience with civil litigation in federal courtsis preferred.
