Role Overview :

The person should have proficiency in data entry, including the use of Excel spreadsheets. This position is responsible for entering approximately 20 different licenses and permits into their respective database/spreadsheet. This position helps track and enter reports for license holders, as well as mail out renewal notices for a variety of permits. This position also assists with filing, copying, and other administrative tasks for the office of planning and public engagement and assists with events when needed.

Statement

The hourly rate for this position traditionally starts at $16.50/hr but may be commensurate with education or work experience.

A Day in the Life:
  • Enters hunting guide and fishing guide reports into spreadsheets; send emails to guides regarding late reports.
  • Enters approximately 20 different licenses and permits into the respective database/spreadsheets – this includes all taxidermists, wild animal possession permits, disability permits, nuisance wild animal control permits, bait dealer licenses, fishing guides, hunting guides, deer processor registrations, bait dealers, etc.
  • Enters continuing education hours into spreadsheet for both nuisance wild animal control and rehabilitation permit holders.
  • Enters deer control permits into spreadsheet, plus the number of deer taken from their reports. Also mails out notices for reports in the fall.
  • Mails out wild animal possession permit renewals, passenger for hire renewal notices, and another 15 different kinds of permit renewals.
  • Files permits and associated paperwork.
  • Assists in managing (includes daily checks, distribution, tracking on spreadsheet, printing out if needed) all emails to  and
  • Makes new file folders for each calendar year for all permits and places old files in boxes and prepares them for the records center.
  • Drafts new forms and makes form revisions as requested.
  • Makes copies of regulations, forms and letters for renewals and other mailings as requested and as needed.
  • Opens and distributes office mail as a backup.
  • Completes public records requests as needed.
  • Other duties as requested.
What You’ll Need for Success:
  • High school diploma, GED, or one (1) year of work experience.
  • Proficient in using Microsoft Excel spreadsheets.
  • Strong organizational skills.
  • Good writing skills.
  • Ability to use office equipment such as a copier and file documents.
Benefits of Employment with the State of Indiana:

This seasonal position does not offer benefits and is limited to 180 working days in an eleven (11) month continuous period.
