The Office Administrator is responsible for professionally managing the Kendrick Foundation office and providing administrative and operations support across all four strategic areas: grantmaking, scholarships, community leadership, and organizational growth.
Under the direction of the Executive Director, this position contributes to the overall success of the Foundation by applying strong organizational, communication, and problem-solving skills in the following areas:
Organizational and Administrative Excellence- Ensure efficient office operations and adherence to organizational policies through effective coordination and attention to detail.
- Create, maintain, and safeguard records, databases, and files related to, finances, and programs.
- Manage invoices, payments, and other administrative processes with accuracy and timeliness.
- Anticipate office needs by maintaining inventory, ordering supplies, and organizing resources.
- Serve as a professional point of contact for staff, partners, and community members through in-person, phone, and digital communication.
- Coordinate travel, calendars, and meeting logistics to support leadership and team needs.
- Prepare correspondence, reports, and presentations that reflect clarity and professionalism.
- Support meetings and events by scheduling, preparing materials, taking minutes, and assisting with follow-up activities.
- Utilize Microsoft Office Suite and digital platforms to manage workflows, create documents, and maintain records.
- Monitor and maintain office technology (computers, network, printer, and phones), coordinating repairs or updates as needed.
- Maintain accurate and current records of partners, grantees, and contacts across digital platforms to support effective communication and organizational compliance.
- Maintain a clean, safe, and welcoming office environment.
- Coordinate services with vendors, contractors, and maintenance providers to ensure smooth day-to-day operations.
- Serve as the primary contact for the office security system and related services.
- Promote a harmonious and inclusive workplace that supports teamwork and mutual respect.
- Contribute to ongoing process improvements and special projects that strengthen organizational efficiency and impact.
- Perform other duties as assigned to advance the Foundation’s goals.
These responsibilities require a dependable professional with strong administrative and organizational capabilities. Ideal candidates will bring proven experience in office administration or a related role and demonstrate exceptional organizational and time management skills. They will possess strong written and verbal communication abilities, with the capacity to actively listen, think critically, and adapt in a dynamic, team-oriented environment. Candidates should be detail-oriented, proactive, and able to manage multiple priorities while fostering collaboration and maintaining a positive, service-minded attitude.
Proficiency in Microsoft Office and comfort navigating digital platforms are essential. A high school diploma is required, and an undergraduate degree in office administration or a related field is preferred.
