Position SummaryProvides secretarial/clerical support to the Satellite Services, Vigo County Services and IPU staff by assisting with the daily administrative functions. Responsible for record‑keeping and financial reports required by the Division Satellite Services & Vigo County Services.
Essential Duties / Responsibilities- Perform administrative/clerical functions; type, scan, copy documents, make bank deposits, pick up mail from the post office, and schedule and confirm appointments.
- Answer telephone calls, take routine messages, screen for crisis situations, respond to routine and emergency inquiries, and interact with consumers daily.
- Maintain all records, client charts, and files pertinent to the program.
- Call insurance companies to verify benefits and eligibility, and check eligibility daily for scheduled consumers.
- Takes minutes of meetings as required.
- Gather data and compile financial reports on a monthly and annual basis.
- Compile data, complete forms, perform mathematical calculations, and carry out other tasks related to funding, accreditations, certification, and similar administrative projects as assigned.
- Use computers in all aspects of the position e.g., correspondence, meeting minutes, schedules, quality assurance forms, financial reports, and program data.
- Assist in maintaining inventory of supplies and materials.
- Complete initial authorizations for Medicaid and Managed Care companies, and assist staff in tracking and meeting deadlines and requirements for various funding sources.
- Assist with billing inquiries and the collection of consumer fees.
- Monitor enrollment procedures for outpatient consumers; record initial contact and screen for presenting problem and specific needs of the consumer.
- Be familiar with all divisions and departments of the Center to interact and assist staff; understand division-wide compliance, regulations, and guidelines of clinical care.
- Represent the agency with the public, potential consumers, referral sources, and active consumers in a professional and ethical manner that reflects a positive attitude and willingness to assist.
- Keep all release‑of‑information requests current.
- Correct non‑clinical errors identified in reports.
- Participate in training, in‑services, and special activities as required or assigned.
- Perform other duties as assigned.
- Enter DARMHA‑required information, track and monitor all assessments for DCSs on site.
- Take weight, height, blood pressure, pulse, and pulse‑ox and enter the data in the EMR for consumers seen by a psychiatrist/NP.
- Administer oral and urine drug tests and document results in the EMR and vendor sites.
- Cross‑train with other sites and fill in when needed.
- High School diploma required.
- Additional education in business field and/or experience desired.
- Knowledge and skills in business English, basic mathematics, typing, filing and record maintenance, reception, operation of routine office equipment, time management, billing procedures, and fiscal management.
- Good interpersonal skills.

- Flexible schedule.
- Skills in Microsoft Office (Word, Excel, Access) for data entry/retrieval.
- Ability to learn HCI’s electronic medical record.
- Good-Par telephone skills.
- Time management and organizational skills with flexibility to manage a wide variety of录像 tasks.
- Willingness to use personal transportation for work.
- Valid driver’s license in accordance with HCI motor vehicle policy.
- Maintain current Crisis Prevention Intervention (CPI) certification.
- Maintain current American Red Cross / CPR / First Aid / AED certification.
