Location: IndianapolisMaintain the Hotel’s Accounts Payable and Receivable functions to ensure timely and accurate payments to vendors/suppliers, and to keep precise records and information.
Responsibilities
Review all accounts to ensure compliance with corporate guidelines. Research duplicate invoices or copies before processing payments.Ensure all invoices are attached to checks before signing and sending.Reconcile vendor statement balances with open invoices monthly.Maintain A/P reports in accordance with the hotel’s retention policies.Understand account breakdowns, including direct bills, credit cards, club members, deposits, and gift certificates.Have general knowledge of front office systems related to accounts receivable.Manage hotel’s accounts receivable systems, including guest ledger, city ledger, and credit cards.Prepare adjustments to city ledger accounts and credit card master folios; post through front office system.Respond promptly to chargebacks to minimize revenue adjustments; record chargebacks on the city ledger.Post necessary accounts from checklists, and compile, reconcile, and mail accounts receivable invoices within billing standards.Research and resolve customer invoice payment claims.Respond to guest and group inquiries via phone within one business day, maintaining proper etiquette.Communicate with customers via call or mail to update accounts as needed.Assist with special projects related to accounts receivable and payable.Maintain collaborative relationships with Sales and Catering departments.Review accounts transferred from Guest Ledger to City Ledger daily.Post all deposits received from Sales and Catering, along with daily charges such as no-shows and miscellaneous postings.Manage gift card processes and serve as the primary posting representative for gift cards.Maintain timely FIT (tour) billings.Other Information
Skills
- Basic knowledge of bookkeeping, filing, and accounting operations including A/R and A/P.
- Proficiency in basic math and operation of a 10-key by touch.
- Computer skills, including Excel and Word.
- Effective communication and customer service skills, with the ability to handle concerns positively.
- Fluent in English, with excellent telephone etiquette.
- Detail-oriented with the ability to perform repetitive work quickly and neatly.
Education/Experience
- High school diploma or GED required; equivalent education, training, or experience is acceptable.
- Minimum of one year experience in a similar operation preferred, with hotel and A/P & A/R experience advantageous.
Working Conditions
Primarily seated work, repetitive motions with hands and wrists, occasional lifting of small items.
