Role Description
This is a full-time, on-site role for an Executive Assistant to the Director based in Secunderābād. The Executive Assistant will provide comprehensive administrative and executive support to the Director. Responsibilities include managing schedules, coordinating meetings, preparing expense reports, and acting as the primary point of contact for internal and external communications. The role demands strong organizational skills to ensure the smooth functioning of daily operations.
Key Responsibilities
1. Executive & Administrative Support
Manage the Director's calendar, appointments, and meeting schedules.
Prepare agendas, presentations, reports, and briefing documents.
Draft official correspondence, circulars, and internal communications.
Handle confidential information with integrity and professionalism.
Coordinate travel arrangements and itineraries when required.
2. Coordination & Communication
Serve as a point of contact between the Director and Principals, HODs, and administrative departments.
Follow up on action items from meetings and ensure timely execution.
Facilitate communication between campuses (if multiple branches).
Coordinate with HR, Finance, and Academic departments on directives from the Director.
3. Meeting & Event Management
Organize board meetings, review meetings, leadership meetings, and campus visits.
Record minutes of meetings and track action plans.
Support coordination of academic events, inspections, and official visits.
4. Documentation & Reporting
Maintain organized records of policies, reports, and strategic documents.
Compile periodic academic and operational reports.
Track key performance metrics and update dashboards as required.
5. Strategic & Operational Support
Assist in implementation of new initiatives and projects.
Conduct basic research and prepare background materials for decision-making.
Monitor progress of institutional goals and report status updates.
Required Qualifications
Bachelor's degree (Master's preferred) in Business Administration, Management, Education, or related field.
3–7 years of experience in executive assistance or administrative roles (experience in educational institutions preferred).
Excellent written and verbal communication skills.
Strong proficiency in MS Office (Word, Excel, PowerPoint) and email management tools.
High level of discretion and confidentiality.

Strong ability to prepare and manage detailed Expense Reports and maintain accurate records.
Experience in providing seamless Executive Support for senior management, including task prioritization and problem-solving.
Excellent Communication skills, both written and verbal, for professional interactions with stakeholders.
Highly organized, detail-oriented, and capable of multitasking effectively in a dynamic environment.
Proficiency in office productivity tools, such as Microsoft Office Suite and scheduling software, is preferred.
Bachelor's degree or relevant certification in Business Administration, Management, or a related field is an advantage.
