Role SummaryThe Executive Assistant serves as a key operational partner to Legal and Executive Leadership. This role supports multi-state entity governance, contract administration, insurance coordination, M&A documentation, and executive-level administrative functions.
The ideal candidate is highly organized, detail-oriented, and comfortable operating in a growth-focused, PE-backed environment where accountability, documentation accuracy, and deadline management are essential.
Executive Assistant Responsibilities Corporate Governance & Legal Operations- Complete approved templates, review, track, and organize legal documents including amendments, BAAs, NDAs, employment agreements, vendor contracts, and correspondence.
- Maintain centralized corporate governance documentation, licenses, annual filings, and compliance records across multiple states.
- Serve as primary liaison with CT Corporation for entity maintenance and state filings.
- Track key compliance deadlines including renewals, licensing, insurance schedules, and regulatory reporting.
- Coordinate document execution via Adobe Sign and ensure proper retention/storage.
- Coordinate with internal teams and outside counsel deadlines on legal review workflows and deliverables.
- Act as primary administrative coordinator to property & casualty, malpractice, general liability, workers’ compensation, and cyber insurance brokers.
- Coordinate insurance renewals, audits, COIs, endorsements, underwriting submissions, and documentation requests
- Track and report incidents and claims; gather required documentation for broker submission, act as liaison to the appropriate operations personnel.
- Support with onboarding of new practice locations.
- Assist with M&A due diligence and post-close integration documentation.
- Assist in coordination of real estate tasks and correspondence
- Onboard new corporate hires.
- Support Board of Director meetings including preparing board meeting materials (including agenda development), slide deck coordination, and taking official minutes as required.
- Support ARC Health Leadership and committees with project coordination and management as needed.
- Support executive travel arrangements and calendar coordination as needed.
- Assist with corporate event planning and logistics.
- Manage office supply ordering and administrative workflows.
- Coordinate incoming mail and deposit checks.
- Coordinate office utilization and bookings.
- Compensation: $65, annually; paid bi-weekly

Required Qualifications
- 3–6+ years of experience in legal operations, corporate governance, compliance, or executive support.
- Associate or bachelor’s degree preferred;
Paralegal certification preferred. - Experience supporting multi-entity or multi-state organizations preferred.
- Experience in MSO, ASO, healthcare, or behavioral health preferred.
- Experience coordinating insurance documentation and broker relationships is a plus.
- Strong document management, organization, and deadline tracking skills.
- High level of discretion and professionalism.
- Proficiency in Microsoft Office and document management systems.
