The Operations Associate will assist team members in preparing paperwork and ensuring all client accounts are set up accurately and properly maintained Singleton. This role provides ongoing service and operational support to clients, consistently exceeding service expectations. Responsibilities include coordinating account openings and maintenance, resolving account-related issues, supporting internal projects, and contributing to training and the continuous improvement of office processes and procedures.

Key Responsibilities
  • Client Account Administration
    :
    Maintain accurate and up-to-date client information in firm databases and recordkeeping systems.
  • Account Setup & Maintenance
    :
    Prepare and process paperwork to open, update, and maintainforma client accounts in accordance with advisor instructions and custodial requirements.
  • Client Meetings
    :
    Participate in and conduct in‑person client meetings to complete required documentation and support account‑related needs.
  • Operational Support
    :
    Serve as a subject‑matter expert on internal operational policies and procedures to ensure accuracy and efficiency.
  • Advisor & Team Collaboration
    :
    Follow established

    EXP guidelines to achieve goals and deliverables that support overall business objectives in collaboration with management.
  • Custodian Coordination
    :
    Conduct phone calls with custodians to research, resolve, and follow up on issues within client accounts.
  • Process Improvement
    :
    Assist in developing and enhancing processes and procedures to improve accuracy, efficiency, and workflow.
  • Project Support
    :
    Assist in setting, managing, and consistently meeting project expectations with team members and management.
Qualifications
  • Bachelor’s degree in business administration, accounting, finance, or a related field preferred.
  • Prior experience with Schwab or Pershing advisor platforms highly preferred.
  • Minimum of two years of experience in a general office environment.
  • < imagining previous experience in the financial services industry preferred.
  • Knowledge of financial advisor office tools such as Salesforce, Orion, or similar systems preferred.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • High level of computer literacy with the ability to quickly learn new programs and systems.
  • Strong numerical aptitude and analytical mindset.
  • Genuine interest in the financial services industry and financial research.
  • Exceptional attention to detail with strong planning and organizational skills.
  • Ability to manage multiple projects simultaneously with accuracy and efficiency.
