Position SummaryThe AV Event Specialist is responsible for the setup, operation, and teardown of audiovisual equipment for campus events, meetings, and special programs s position also supports occasional audiovisual setup in classrooms. The AV Event Specialist ensures high-quality presentation support with audio, video, and lighting. This service-oriented and technically-savvy role collaborates with colleagues in Conference and Event Services, as well as with faculty, staff, administrators, students, and external partners/clients, to deliver responsive, reliable, and professional AV services.
EssentialJob Functions and Responsibilities
- Set up, operate, and tear down audiovisual equipment for events such as lectures, performances, conferences, meetings, fundraisers, commencement, and live or remote events.
- Operate sound systems, microphones, mixing consoles, projectors, LED displays, lighting systems, cameras, and streaming/recording equipment.
- Provide real-time, immediate live event support, including audio mixing, video switching, lighting control, and troubleshooting during events.
- Support hybrid and virtual events using video conferencing platforms (e.g., Zoom, Microsoft Teams).
- Coordinate with team members and event contacts to assess AV needs and ensure technical requirements are met.
- Work with IT to maintain, inventory, test, and perform basic repairs on AV equipment.
- Research event technology advancements and make recommendations for any upgrades and enhancements.
- Ensure compliance with accessibility standards (e.g., assistive listening devices, captioning coordination).
- Assist with classroom technology support as needed, including smart classrooms and lecture capture systems.
- Maintain documentation, event schedules, and equipment usage records.
- Follow safety procedures and best practices when handling equipment and cabling.
- Provide excellent customer service to campus and community users.
- Work collaboratively with others (e.g. colleagues, clients, vendors) to accomplish functions and responsibilities.
- Assume additional duties as assigned by immediate supervisor.
- Associate’s degree from a regionally accredited institution
- Experience supporting live events and operating professional AV equipment
- Bachelor’s degree
- Experience in a higher education or community college environment
- Bilingual communication and writing skills in Spanish
- Knowledge of ADA accessibility requirements related to AV and events
- Project management experience
- Knowledge of project management tools and resources
- Thorough knowledge of audiovisual technology, especially in a special events setting
- Ability to troubleshoot technical issues under time-sensitive conditions
- Strong service mindset
- Strong verbal, written, and interpersonal communication skills
- Ability to balance multiple priorities and deadlines
- Strong decision-making skills
- Self-starter able to work independently with minimal supervision
- Ability to quickly learn technological applications
- Ability to perform under pressure
