We are a national staffing firm and are currently seeking an
Administrative Assistant for a prominent clientofours.

Position Title: Administrative Assistant
Contract Length: 1 Year
Location: Onsite in Mettawa, IL
Schedule: Monday–Friday, fully onsite
Department: Legal Operations
Pay Rate: $23/hour
Position Summary:
This is a dynamic Administrative Assistant II position supporting a Legal Operations team. The role requires a proactive, detail-oriented professional with a strong work ethic and willingness to learn. This is not a traditional administrative role — the ideal candidate will take initiative, adapt to a variety of tasks, and demonstrate curiosity and eagerness to grow professionally. While extensive experience is not necessary, the right candidate will bring a positive attitude, tech-savviness, and flexibility.
Key Responsibilities:
- Manage calendars and schedule meetings and events for leadership and team members
- Organize training sessions, conferences, and cross-functional meetings
- Provide onsite support such as stocking supplies, maintaining coffee stations, and prepping materials
- Create and edit presentations (PowerPoint) and business documents
- Assist with onboarding vendors and new team members
- Arrange travel, process expense reports, manage courier/shipping needs
- Handle invoice processing and basic budget tracking
- Support Teams, Zoom, and Tele Presence meeting logistics
- Maintain confidential files and ensure compliance with internal policies
- Collaborate with a large, cross-functional team and support team projects
- Assist with onboarding and workspace setup for new hires
Required Skills and Attributes:
- Intermediate to advanced proficiency in Microsoft Office (Excel, PowerPoint, Word, Outlook)
- Strong attention to detail and organizational skills
- Quick learner with ability to adapt to new tools and tasks
- Excellent communication skills and professional demeanor
- Curious, eager to grow, and willing to take on a variety of responsibilities
- Dependable, accountable, and proactive in problem-solving
- Ability to balance multiple priorities and meet deadlines
Preferred Qualifications:
- Some college education preferred
- Experience with SharePoint and Concur preferred
- Experience in the pharmaceutical, healthcare, or clinical research industry a plus
- 1–3 years of administrative experience (entry-level candidates encouraged to apply if they meet skills criteria)
