Description: High School Office Manager (Full time "school year" employee as defined in the CBA).
Qualifications- High School diploma.
- Secretarial Training And/or Experience Preferred.
- Two years of clerical experience or equivalent desired.
- Computer skills: proficient in word processing, spreadsheet, and database software.
- Proficient in the use of written and spoken English language.
- Demonstrate courtesy and etiquette when serving people in the office or on the telephone.
- Must know how to write basic types of correspondence: business letters and memos.
- Must be well organized; able to effectively prioritize tasks.
- Must possess excellent people skills.
- Other qualifications as determined as necessary by the school board.
Building Principal
Terms of EmploymentThe work year is established by the school board annually in accordance with state law, and workday requirements for the Office Manager coincide with the number of staff attendance days (180), plus 40 more days for a total of 1650 hours. The duration of time per day is from 7:30 AM to 3:30 PM, with a 30-minute unpaid lunch period.
Starting Salary$18.25 (Previous experience a plus and to be considered)
Bonus$400 ($150 60 days from hire date, $250 on 1-year anniversary)

- Manages the day-to-day activities and performs the usual office routines and practices associated with a busy yet productive and smoothly run office.
- Answer phone and route calls, serve students and visitors to the office.
- Maintains office files.
- Use Teacher Ease (student management program) to prepare information as directed by the Principal/Superintendent.
- Assists in the preparation of student enrollment materials.
- Assists in preparing and maintaining student attendance records.
- Maintain records of student add and drops; inform teachers of status changes.
- Contact homes of absent students.
- Assists in the development of the master and student schedules.
- Organize and prepare processes and documents for registration.
- Respects and ensures the confidentiality of information associated with the position.
- Assist in the supervision of children while students are in the office.
- Report student and employee accidents.
- Make all preparations for the opening and closing of school each year.
- Manage all activity fund accounts; write checks, record transactions, confirm with sponsors.
- Post deposits, count all monies, writes checks for postage, entry fees, officials, conference fees, and club/organization purchases.
- Prepare monthly reports to the Board of the activity fund, Imprest fund, etc.
- Deposit funds daily at appropriate banking facilities.
- Make necessary preparations for annual fund audits.
- Prepare change boxes and tickets for all admission charging activities; count receipts and make necessary deposits.
- Prepare monthly reports needed by the ISBE, SEAPCO, or Principal/Superintendent/Board.
- Follow the safety guidelines specified in the Crisis Management Plan for District #327.
- Perform other tasks and assume other responsibilities as assigned by the administration.
