Position SummaryThe Project Accountant is responsible for managing financial activities related to construction projects, including accounts payable, accounts receivable, job costing, and certified payroll reporting. This role ensures that project financials are accurate, up to date, and in compliance with company policies and regulatory requirements. The Project Accountant works closely with project managers, estimators, and field staff to support project success while maintaining strong internal controls and efficient accounting processes.

- Prepare and process Time & Materials (T&M) and progress billings for multiple projects.
- Enter invoices into various.lista-specific software platforms as required by general contractors.
- Lead bi‑weekly Accounts Receivable meetings with the Executive Leadership team to review outstanding balances, discuss collections strategies, and ensure timely payments.
- Enter cash receipts and reconcile accounts regularly to maintain accurate project financials.
- Accounts Payable & Vendor Management
- Review, process, and enter vendor invoices for project‑related costs.
- Request, collect, and track Certificates of Insurance (COIs) and lien waivers含 vendors and subcontractors.
- Ensure waivers and compliance documents are submitted to general contractors throughout the life of each project.
- Enter payments and waivers into the St. Louis County database for Missouri projects to maintain compliance.
- Subcontracts & Change Orders
- Prepare subcontract agreements for each job and ensure accuracy prior to routing for Executive Leadership signatures.
- Track, record, and update change orders in coordination with the project management team.
- Maintain organized documentation to support all subcontracts, amendments, and related correspondence.
- Project Costing & Financialmor Reporting
- Import budgets from estimating software into the accounting system and establish phases and cost codes.
- Reconcile project cost data and reporting with IDOT (Illinois Department of Transportation) and MODOT (Missouri Department of Transportation) requirements.
- Collaborate with project managers to monitor costs, job progress, and project performance against budgets.
- Provide regular reporting on job status, backlog, and closeout requirements.
- General Accounting & Compliance
- Assist with month‑end and year‑end close processes related to job cost and project accounting.
- Maintain accurate and timely records of project‑related financial transactions across multiple systems.
- Support external audit requests with project‑level documentation.
- Ensure compliance with company policies, contract terms, and applicable state and federal regulations.
- Bachelor’s degree in Accounting, Finance, or Business with emphasis in Accounting.
- Minimum of 3 years of accounting experience, preferably in the construction industry.
- Strong knowledge of accounts payable, accounts receivable, payroll, and job costing.
- Advanced proficiency in Microsoft Excel杉 and experience with accounting/project management software (Spectrum Viewpoint is a plus).
- High level of attention to detail and accuracy when working with financial data.
- Strong problem‑solving and analytical skills with the ability to prioritize tasks effectively.
- Excellent verbal and written communication skills; able to collaborate across departments.
- Ability to maintain confidentiality of sensitive financial and employee information.
