Rental Coordinator I – Western States Equipment
Job SummaryThe Rental Coordinator I is responsible for handling a high volume of calls and walk‑in traffic, assisting customers with their rental needs. The role includes negotiating rental rates, drafting rental contracts using rental software, scheduling transportation for equipment, and invoicing customers. The position may operate at a satellite store without an onsite manager, requiring independent work and strong customer service skills.
EssentialFunctions
- Actively promote and maintain a safe work environment for all employees, vendors, and clients, adhering to all safety policies and procedures.
- Keep personal work areas clean and clutter‑free.
- Wear required personal protective equipment (PPE) as specified in safety policy.
- Handle customer calls and walk‑in inquiries for equipment requests.
- Recommend specific rental solutions based on client needs and equipment availability.
- Negotiate rental rates and pricing to achieve desired market share and profitability.
- Dispatch delivery drivers for pickup and delivery of equipment and coordinate preventive maintenance and repairs with the shop lead.
- Complete tasks independently with limited supervision or in collaboration with another Rental Coordinator on site.
- Utilize software programs for writing agreements, invoicing, transferring equipment, etc.
- Use industrial and light construction rental equipment as required.
- Manage all customer complaints and resolve them professionally.
- Assist with safety‑related initiatives and leadership efforts.
- Perform other duties as assigned.
- Knowledge of Microsoft Office and other comparable computer systems.
- Ability to learn and use rental software.
- Strong written and verbal communication, planning, organizing, and interpersonal relationship‑building skills.
- Ability to set and manage priorities.
- Self‑starter who works well with minimal supervision.
- Strong customer service experience is required.
- Consistent attendance is expected.
- High school diploma or GED required.
- Minimum of 6 months of customer service experience.
- Ability to communicate in English (speak, read, comprehend, and write).
- Valid driver’s license, acceptable driving record, and ability to obtain a medical card.
- Ability to stand for long periods, walk, sit, climb stairs, reach above shoulder height, bend, stoop, push, pull, lean, and twist.
- Ability to lift up to 60 lbs. in accordance with the company lifting policy.
- Must meet all safety requirements for applicable safety policies.
