Program Support Analyst / Project Coordinator

Join a mission-driven team providing program and management support across complex initiatives. This role is ideal for a detail-oriented professional who excels at organizing information, tracking program and project activity, and supporting leadership through analysis, reporting, and coordination. The Program Support Analyst / Project Coordinator plays a key role in ensuring projects remain on track, data is accurate and accessible, and management has the information needed to make informed decisions.

Key Responsibilities
  • Track project and program status, schedules, deliverables, and action items.
  • Maintain and update spreadsheets, databases, trackers, and other program-related files.
  • Organize and maintain electronic and hard-copy files in accordance with established procedures.
  • Prepare, gather, and analyze data to support reports, briefings, and management decision-making.
  • Review incoming reports and highlight issues, inconsistencies, or items requiring management attention.
  • Prepare draft reports, presentations, and other documentation for internal or external stakeholders.
  • Assist in assessing reporting requirements and identifying opportunities for process improvement.
  • Coordinate meetings, prepare materials, document outcomes, and track follow-up actions.
  • Serve as a point of contact for routine project- or program-related inquiries and information requests.
Management Analyst
  • Provide analytical support for management and program functions, including compliance with DOE guidelines.
  • Conduct basic analysis of project costs, budgets, schedules, and deliverables.
  • Interface with DOE-/HQ financial personnel regarding program budgets, funding, and reporting.
  • Aid in reconciliation of DOE financial data from multiple sources, including STARS and PICS:

    NE.
  • Synthesize data from multiple sources and provide actionable recommendations to management.
  • Assist in designing and implementing business processes to improve program efficiency.
  • Support development of reports for DOE- DOE-NE/HQ management, presenting information in a logical, persuasive manner.
Project Coordinator
  • Support project managers in planning, executing, and closing projects.
  • Facilitate communication among project teams and stakeholders.
  • Assist with project documentation management, including tracking changes, revisions, and approvals.
  • Coordinate project logistics, including scheduling meetings and preparing materials.
  • Monitor project milestones and deliverables to ensure projects remain on schedule.
  • Provide basic assistance to program/project teams to ensure timely completion of assigned tasks.

Education: Bachelor’s in Business Administration, Public Administration, or related field.

Experience: A minimum of five (5) years of relevant experience.

Skills and Qualifications
  • Core Skills & Knowledge: Strong analytical, organizational, and problem-solving skills. Ability to interpret data and provide actionable recommendations.
  • Excellent written and verbal communication skills, including the ability to clearly present findings.
  • Understanding of basic project management concepts and program coordination.
  • Technical

    Skills:

    Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); familiarity with databases and tracking tools.
  • Ability to learn and adapt to new systems, reporting tools, and shared network drives.
  • Comfortable working independently and collaboratively in a telework environment.
