Office and Administrative Support – Regular Full‑time Non‑exempt – United States – Texas – Huntsville – Monthly Pay $2,938.05 (Ret 2.5% Less)
Job SummaryPerforms routine administrative support work. Provides administrative support, including disseminating information, assisting with maintaining filing systems, and preparing and editing reports and documents. Works under moderate supervision with limited latitude for the use of initiative and independent judgment.
Essential Functions- A. Receives, compiles, and processes inmate time management documentation; prepares and assembles information for administrative review and action; researches and assists in reviewing legal sources to include statutes, administrative records, mandates, and opinions.
- B. Processes documents for inmate time calculations and reviews inmate dispute resolutions for calculation accuracy and conformance to agency policy and laws; develops, coordinates, reviews, updates, and maintains inmate records, files, logs, and databases.
- C. Conducts quality control reviews performing routine to intermediate inmate time calculations; cross‑checks inmate information and recalculates time; identifies and resolves discrepancies and returns documents and records for corrections and to obtain missing documents.
- D. Responds to inquiries regarding rules, regulations, policies, and procedures; provides information to staff, supervisors, inmates and their families, attorneys, judges, and other agencies.

- Graduation from an accredited senior high school or equivalent or GED.
- Customer service, clerical, secretarial, administrative support, or technical program support experience preferred.
- Inmate classification experience preferred.
- Computer operations experience preferred.
- Knowledge of office practices and administrative procedures.
- Knowledge of business terminology, spelling, punctuation, and grammar.
- Knowledge of court cases and how they impact inmate time calculations.
- Knowledge of agency and departmental organizational structure, policies, procedures, rules, and regulations preferred.
- Skill to communicate ideas and instructions clearly and concisely.
- Skill to coordinate with other staff, departments, officials, agencies, organizations, and the public.
- Skill to interpret and apply rules, regulations, policies, and procedures.
- Skill in the use of computers and related equipment in a stand‑alone or local area network environment.
- Skill to prepare and maintain accurate records, files, and reports.
- Skill to review technical data and prepare technical reports.
- Skill to type 45 words per minute (with no more than 10 errors) preferred.
- A. Ability to walk, stand, sit, kneel, push, stoop, reach above the shoulder, grasp, pull, bend repeatedly, climb stairs, identify colors, hear with aid, see, write, count, read, speak, analyze, alphabetize, lift and carry 15‑44 lbs., perceive depth, operate a motor vehicle, and operate motor equipment.
- B. Conditions include working inside, working around machines with moving parts and moving objects, radiant and electrical energy, working closely with others, working alone, working protracted or irregular hours, and traveling by car, van, bus, and airplane.
- C. Equipment (machines, tools, devices) used in performing only the essential functions include computer and related equipment, calculator, copier, fax machine, telephone, dolly, and automobile.
