Position Summary

The Enrollment Management Executive Suite is seeking a highly motivated and professional Student Assistant to support the daily operations of the Vice President and Associate Vice Presidents. This position provides hands‑on experience in a fast‑paced administrative environment and requires a strong commitment to confidentiality, accuracy, and customer service.

Key Responsibilities Front Desk & Customer Interaction
  • Serve as the first point of contact for visitors to the Executive Suite; greet guests and notify appropriate staff.
  • Answer incoming phone calls, route inquiries appropriately, and take accurate messages.
  • Provide courteous, informed, and timely assistance regarding office hours, general Enrollment Management services, and campus resources.
Administrative Support
  • Assist with document preparation, photocopying, scanning, and secure shredding of confidential materials.
  • Support meeting preparation by organizing materials, refreshing conference supplies, and assisting with technology setup.
  • Help maintain office supply inventory and ensure the suite is orderly, professional, and welcoming at all times.
  • Monitor shared inboxes and route messages to appropriate staff (no FERPA‑related decision‑making or responses).
Project & Event Assistance
  • Assist with logistics for meetings, trainings, and small events (e.g., sign-ins, assembling packets, greeting attendees).
  • Support special projects as assigned by full‑time staff, including data entry, organizing records, and preparing materials.
Confidentiality & Professional Conduct
  • Maintain strict confidentiality when exposed to sensitive or privileged information within the Executive Suite.
  • Demonstrate professionalism in communication, appearance, and interactions with campus partners.
  • Adhere to all FERPA requirements and SHSU policies.
