I. JOB SUMMARYPerforms highly complex administrative support work. Work involves providing and coordinating administrative support including disseminating information; developing filing systems; and preparing and editing reports and documents. Works under limited supervision with moderate latitude for the use of initiative and independent judgment.
II. ESSENTIAL FUNCTIONS- A. Performs technical support work for an agency program; participates in the planning and execution of an agency program; and coordinates work with organizational units of the agency.
- B. Collects and submits credit travel vouchers; assists in coordinating issues concerning travel vouchers; and conducts training with staff for travel voucher submission.
- C. Performs data entry into the Advanced Purchasing and Inventory Control System (ADPICS) purchasing system; and assists with the preparation of financial statements and operating reports.
- D. Schedules and coordinates appointments, interviews, and conferences; and makes travel arrangements and prepares related documents.
- E. Assists in collection and compilation of credit card purchases and vehicle maintenance records; assists in coordinating repairs to vehicles; and assists with audit reports, purchase orders, and related records.
- Performs a variety of marginal duties not listed, to be determined and assigned as needed.
A. Education, Experience, and Training
- Graduation from an accredited senior high school or equivalent or GED.
- Two years full-time, wage-earning customer service, clerical, secretarial, administrative support, or technical program support experience. Fifteen semester hours from a college or university accredited by CHEA or the United States Department of Education may be substituted for each six months of experience.
- Accounting or numerical detail work experience preferred.
- Experience in the use of Microsoft Office Suite or equivalent to include word processing, spreadsheet, database, or presentation software programs preferred.
- Knowledge of office practices and procedures.
- Knowledge of business terminology, spelling, punctuation, and grammar.
- Knowledge of agency and departmental organizational structure, policies, procedures, rules, and regulations preferred.
- Skill to communicate ideas and instructions clearly and concisely.
- Skill to coordinate with other staff, departments, officials, agencies, organizations, and the public.
- Skill to interpret and apply rules, regulations, policies, and procedures.
- Skill to review technical data and prepare technical reports.
- Skill in the use of computers and related equipment in a stand-alone or local area network environment.
- Skill in problem-solving techniques.
- Skill to prepare and maintain accurate records, files, and reports.
- Skill to make arithmetic calculations.
- Skill in the use of Microsoft Office Suite or equivalent to include word processing, spreadsheet, database, or presentation software programs.
- Skill to type 45 words per minute (with no more than 10 errors) preferred.
- A. Ability to walk, stand, sit, kneel, push, stoop, reach above the shoulder, grasp, pull, bend repeatedly, climb stairs, identify colors, hear with aid, see, write, count, read, speak, analyze, alphabetize, lift and carry 15-44 lbs., perceive depth, operate a motor vehicle, and operate motor equipment.
