Randolph School seeks a highly organized and detail-oriented Athletics Operations Coordinator to provide administrative and operational support to the athletics program. This position plays a key role in managing departmental communications, maintaining accurate athletic records, supporting budget administration, and coordinating home athletic events and team logistics. The ideal candidate will bring strong communication and interpersonal skills, experience in administrative support (preferably in an athletic or educational setting), and the flexibility to support a dynamic schedule that includes athletic events.
This role works collaboratively with students, coaches, school administrators, faculty and staff, parents, and community partners to ensure a positive and effectively managed athletics program.
Job Responsibilities
- Compose and send routine correspondence on behalf of the athletic department (coaches, athletes, parents, ASHAA, other schools, referee/official associations, etc.)
- Manage Student Information System records (contact information, rosters, schedules, early releases, program fees, etc.) for athletes and coaches
- Oversee budget administration for athletics event concessions and gate, and assist with budgeting, purchase orders, and tracking departmental expenses
- Coordinate and support home event gate and concessions set up, volunteer shifts, theme nights, and clean up
- Assist with team arrangements, such as travel, pre-game meals, senior banners, and team pictures, and end-of-season awards
- Partner with Randolph Community Network Athletics Chair to organize volunteer training each season and to coordinate volunteers for home events
- Take an active role in professional activities and attend relevant professional meetings and conferences
- Transport students, school equipment or travel for school business to alternate locations using a company or personal vehicle
- Bachelor’s Degree in a relevant field required
- Minimum of 2 years experience in administrative support, preferably in athletics or education
- Demonstrated ability to manage budgets effectively
- Exceptional communication and organizational skills
- Current drivers license and personal vehicle insurance
- Must be authorized to work in the U.S. without requiring sponsorship
