We are seeking a Project Coordinator to join our federal team based in Huntsville, AL
. This role will support Project Managers, Operations Teams, Engineers, and field‑based teams to ensure consistent delivery of project documentation, briefs, and data deliverables for assigned projects. The position primarily supports the Electronic Security team providing maintenance and service to Air Force bases and other federal facilities.
Shift: First shift/Day shift hours, Monday – Friday.
Pay Range: $28.85 – $36.00 per hour ($60,000 – $75,000 annual) based on experience.
- Eligible for benefits on first day of employment.
- Vacation: 3 weeks of paid vacation, 5 sick days, 3 floating holidays, and 10 standard holidays per calendar year (6.5 weeks total).

- Coordinate with technicians, managers, logisticians, and engineers to gather data and ensure project alignment.
- Assist in development and implementation of project plans.
- Track project progress and identify potential roadblocks.
- Employ commercial databases and business automation tools to streamline data management and reporting processes.
- Prepare and maintain accurate project documentation, including reports, presentations, and data deliverables.
- Utilize logistics databases to extract, analyze, and manipulate data related to ESS maintenance activities.
- Build comprehensive project briefs and data deliverables based on database information.
- Maintain and update databases related to work tickets, system design data, and physical assets.
- Audit database entries for accuracy and completeness, identifying and correcting discrepancies. Ensure database integrity.
- Facilitate communication and information flow between project stakeholders.
- Coordinate vehicle leases and maintenance, track technician leave, and manage employee‑related coordination.
- Support the projects business activities such as RFI's, RFP's, submittals, subcontract processing, managing project documentation, support of booking or cost tracking system entry, and customer invoicing.
- Support new contracts and manage changes to existing maintenance and service, retrofit or PSA contracts, labor and material tickets, and service order management tickets.
- Manage project documentation files, gather submittal documentation, customer communication, subcontracts documents, and proposals. Complete project closeout checklists including as‑builts, final invoicing to the customer, warranty letters, project books, and training documentation.
- Assist with procurement of materials utilizing electronic purchasing/ordering tools to enter and track project materials.
- Work with project management to ensure cost scheduling and re‑estimates are entered into the tracking system. Enter project dates, schedules, and contract costs as directed.
- Perform other duties as required to support the project team.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Experience working with commercial databases and business automation tools.
- Strong data analysis and problem‑solving skills.
- Strong organizational and time‑management skills.
- Must have strong interpersonal skills to effectively communicate with both internal and external clients.
- Experience using logistics databases.
- Technical background with commercial or industrial Electronic Security Systems or networking equipment.
- Experience supporting project related teams in the construction or building maintenance industry.
- Experience working with the U.S. Air Force or other federal government agencies.
- Experience with document and data automation.
- Experience with work order management systems.
- Experience working with construction documentation; RFI's, RFP's, submittals, etc.
- Bachelor's degree in a related field Information Technology, Business Administration or equivalent experience.
