Project Administration Specialist to USACE (Huntsville, AL) Job Summary/Essential Functions
- Support the Government lead Project Managers in all actions necessary to monitor and manage the Contractor’s performance and execution of their service orders; assemble and prepare technical review packages, coordinate and track in‑house taskers, service order packages, review billings, prepare PowerPoint presentations, close out and use pivot tables.
- Interact and interface with government customers on a daily basis.
- Reconcile transactions by comparing and correcting data.
- Perform data analysis.
- Assist in analyzing expenditures as they relate to budgetary constraints and prepare reports of anticipated surplus or shortfall for all projects.
- Attend meetings and participate in telephone conferences.
- Initiate, in coordination with members of the project delivery team (PDT), part of the service desk; receive, track, check mathematical correctness, ensure proper CLINs are billed, assemble and prepare technical review packages, route for engineer technical and cost assessments for PM/PgM approval, and to the contracting officer for final approval as required.
- File documentation, close action in the Excel database, check billings for correctness, input Government‑approved invoices, and document all tasks.
- Track and provide accurate statuses, metrics, and contractual obligations to meet project performance requirements and customer expectations.
- Track expenditures for labor, travel, and purchases of services throughout the fiscal year.
- Prepare pivot tables and briefing material on program status for presentation to Government agencies, the KO, and the COR.
- Assist Program/Project Managers in tracking all contract actions.
- Perform other tasks assigned by Program/Project Managers.
- Minimum Bachelor’s Degree.
- Math or Information Systems degree desired.
- 7–12 years of experience required.
- Ten or more years of relevant experience may substitute for education, and an advanced degree may substitute for two years of experience.
- Advanced knowledge of Excel, Pivot Tables, Access, and PowerPoint.
- Public Trust desired.
- Must be able to obtain a clearance.
