Accounts Payable Specialist

Overview

ALM Commercial Landscaping is searching for an Accounts Payable (AP) Specialist to join the team in Huntsville, AL. This position is responsible for processing vendor invoices, managing payments, reconciling accounts, and maintaining accurate financial records. The AP Specialist ensures timely and accurate vendor payments while supporting strong vendor relationships and compliance with company financial policies and internal controls.

• Invoice Processing:
  Receive, review, code, and enter vendor invoices into the accounting system
• Match invoices to purchase orders (POs), purchase receipts (PRs), and receiving documentation
• Verify accuracy and resolve discrepancies prior to payment
• Payment Management:
  Schedule and process payments via check, ACH/EFT, and wire transfer
• Monitor due dates to ensure timely payments and avoid late fees
• Account Reconciliation:
  Reconcile vendor statements and accounts payable balances
• Investigate and resolve discrepancies and outstanding items
• Record Keeping:
  Maintain accurate, organized financial records and vendor files
• Ensure documentation is complete and audit-ready
• Vendor Communication:
  Respond to vendor inquiries regarding invoices and payment status
• Resolve billing and payment issues in a timely and professional manner
• Reporting & Compliance:
  Assist with month-end close activities and financial reporting
• Support internal and external audits
• Ensure adherence to internal controls and company financial policies

• 2–3 years of Accounts Payable experience required
• Associate’s degree in accounting, finance, or a related field preferred
• Strong attention to detail with a high level of accuracy
• Excellent organizational and time-management skills
• Ability to manage multiple tasks and meet deadlines
• Basic bookkeeping and accounting knowledge
• Familiarity with accounting or ERP software
• Knowledge of Net Suite highly preferred
• Intermediate proficiency in Microsoft Office applications, including Excel, Word, and Outlook
• Effective written and verbal communication skills
• Ability to function well in a fast-paced and occasionally stressful environment
• Ability to sit for prolonged periods while working on a computer
• Ability to pass pre-employment background and drug screening
