The RoleThe Payroll & Financial Systems Specialist owns payroll administration, timekeeping systems, and labor cost compliance. This role ensures accurate payroll processing, maintains payroll tax and audit compliance, and builds scalable timekeeping and project tracking processes to support government reporting requirements. The ideal candidate is detail-driven, systems-minded, and comfortable operating hands‑on in a fast‑paced environment.
Key ResponsibilitiesExecute end-to-end payroll processing, including payroll taxes, filings, audits, and issue resolution.
Reconcile payroll, cash, and related general ledger accounts; support monthly and year‑end close.
Design, implement, and maintain timekeeping and project coding systems aligned with audit and government compliance standards.
Ensure adherence to internal controls, payroll regulations, and documentation requirements.
Act as system owner for payroll and timekeeping tools; drive process improvements and automation.
Partner with HR and Accounting on compensation changes, onboarding/offboarding, and benefits deductions.
Support internal and external audits and respond to compliance inquiries.
Bachelor’s degree in Finance, Accounting, Economics, or a related field.
2–4 years of experience in payroll, accounting, treasury, or corporate finance.
Working knowledge of payroll processing and payroll tax regulations.
Strong Excel or spreadsheet skills and high attention to detail.
Experience designing and implementing timekeeping systems and project/labor coding structures from the ground up.
Familiarity with time tracking and labor allocation processes, including support for government reporting.
Hands‑on experience with timekeeping and payroll platforms such as Rippling, ADP, UKG, Workday, or similar systems.
Experience with multi‑entity or international payroll and cash management.
Background in a startup or high‑growth environment with evolving systems and processes.

The salary range for this role is an estimate based on a wide range of compensation factors, inclusive of base salary only. Actual salary offers may vary based on (but not limited to) work experience, education and training, critical skills, and business considerations. Highly competitive equity grants are included in most offers and are considered part of Mach’s total compensation package.
